About The Position

Grounds & Transportation Office Coordinator Cross Keys Village – The Brethren Home Community (CKV) is seeking a friendly, organized, and service‑oriented individual to support our Grounds and Transportation team. As the Grounds & Transportation Office Coordinator, you will provide essential administrative support, help keep departmental operations running smoothly, and serve as a welcoming point of contact for residents, team members, volunteers, and guests. Your Role as the Grounds & Transportation Office Coordinator As the Grounds & Transportation Coordinator, your scope of responsibilities will include but are not limited to:

Requirements

  • Must possess a High School Diploma equivalent.
  • Basic computer skills are essential.
  • Experience using Word, Excel and Outlook is required.
  • Must possess a valid state driver’s license and be in good standing with a safe driving record.

Responsibilities

  • Answering phone calls for Grounds and Transportation Department, responding to work orders and requests and enter appropriate information into nessessary systems.
  • Assigning work orders to appropriate departments and personnel within the system.
  • Coordinating daily activities in the Grounds and Transportation Office including, but not limited to processing Transportation requests through the system, processing invoices and payment for auto repair service, and assisting Transportation and Grounds customers.
  • Responsible for answering and processing calls and requests for transportation to medical appointments or personal trips.
  • Notifying Transportation Supervisor of additional requests, contacting the driver if necessary for same day transports, and updating the transportation schedule.
  • Providing backup for Transportation Office schedule at the discretion of the Transportation Supervisor.
  • Adding service appointments to the auto repair calendar, call customers to collect payment and/or change schedule date when necessary.
  • Providing customer service to walk-in customers who utilize the auto repair services, when the customer drops off or picks up a vehicle.
  • Will be required to process payment accordingly and log paid invoices into Excel spreadsheet. Also required to perform weekly cash settlement statements and deposits from the auto repair service program to the accounting department.
  • Communicating with ancillary team members via various communication devices including radio and cellular phones.
  • At the discretion of the Transportation Supervisor may also be assigned to transport residents to or from last-minute requests for medical appointments, or when the schedule exceeds the number of available drivers, or to fill in as necessary to ensure the transportation needs of our residents are met.
  • Completing parts pick-up or deliveries as needed and assists with pick up and drop off of vehicles on and off campus at the discretion of the Lead Mechanic.
  • Maintaining SDS manuals for the Transportation Department including the garage completing annual updates as required.
