The Grants Specialist coordinates and leads grant prospecting, proposal development, and reporting processes for institutional, corporate, foundation, and related partners within Water Mission’s expanding Global Partnerships portfolio to help achieve its funding goals. This role is a central point of contact for all stages of the grant award cycle, from prospecting through final reporting. The Grants Specialist works closely with the Grants Director to create and implement best practices for grant acquisition and retention, including proposal development, contract reviews, grant handovers, donor reporting, and information management. The position also provides guidance on grant cycle management to International Operations, Standards & Excellence, and Finance staff to ensure quality and efficiency across all grant activities and foster cross-departmental coordination. The Grants Specialist reports to the Grants Director and works closely with Partnerships Directors and International Operations staff. This is a full-time, remote position.

  • Prospecting: Collaborate with the Grants Director to develop and maintain a pipeline system for grants and requests for proposals to track potential opportunities. This will support the GP team to identify new potential funding opportunities through donor research and monitoring calls for proposals.
  • Grant Proposal Development: Following standard GP procedures, coordinate the development, review, and submission of grant proposals, including narratives, budgets, work plans, and other required annexes. This will require significant cross-departmental collaboration with staff from International Operations and Standards and Excellence.
  • Contract Review:Coordinate reviews, feedback submission, and signing of grant contracts with all key stakeholders, including the senior leadership team.
  • Grant Smartsheet Setup: Complete new grant setup in Smartsheet for each newly awarded grant.
  • Grant Documentation Setup:Save and maintain complete and up-to-date grant documentation, including compliance, registration, proposals, and reporting materials in each respective grant folder.
  • Innovate: Look for ways to improve grant acquisition processes at Water Mission and take an active role in continuous improvement.
  • Grant Kickoffs: Work with the Grants Director, Program Managers, and Finance team to conduct grant kickoff activities, including documentation handoffs and effective kickoff meeting workshops with implementing staff.
  • Grant Management Support: Provide support, as needed, for Program Managers in answering compliance or other grant-specific questions.
  • Grant Reporting: Lead the coordination, compiling, editing, review, and submission of high-quality narratives and financial reports to meet all grant reporting requirements. This will require significant cross-departmental collaboration with Program Managers, International Operations staff, and Standards and Excellence Staff (engineering; monitoring, evaluation, and learning; program design).
  • Grant Closeout: Lead the closeout of grants, as assigned, conducting lessons learned meetings with all implementing staff.
  • Innovate: Look for ways to improve grant reporting and retention processes at Water Mission and take an active role in continuous improvement.
  • Registrations: Manage annual grant-related registrations, including SAM Entity Registration, UN assessments and registrations (PSEA, Environmental Impact Analysis, etc.).
  • Compliance: Develop and maintain up-to-date and in-depth knowledge of donor and government policies, rules, and regulations, supporting full compliance across implementing teams.
  • SOP and Policy Creation: Support the Grants Director in developing grant polices and SOPs to ensure the professional acquisition and retention of grant funding for Water Mission.
  • Personal and growing relationship with Jesus Christ.
  • Alignment with Water Mission’s Statement of Faith and core values of Love, Excellence, and Integrity.
  • Three to five years of relevant experience in grant acquisition/business development, program development, or fundraising in humanitarian settings (required).
  • Experience developing grant proposals and leading reporting processes for bilateral and multilateral funders (UNHCR, UNICEF, World Bank, IDB, etc), institutional donors, and private foundations (required).
  • Excellent organizational and analytical skills with high attention to detail.
  • Strong working knowledge of international development funding mechanisms and regulations for bilateral and multilateral donors.
  • Demonstrated ability to prioritize and consistently meet deadlines in a complex environment.
  • Fluency in written and spoken English required.
  • Ability to work independently and collaboratively with a team.
  • Demonstrated ability to lead and collaborate cross-culturally.
  • Domestic travel may be expected up to 10%.
  • Excellent written and verbal communication skills, including the ability to clearly articulate ideas and feedback constructively.
  • Home internet bandwidth strong enough to support video conferencing and other job-related responsibilities.
  • Commitment to ending the global water crisis.
  • Legal authorization to work in the United States without sponsorship.
  • Sub-grant/sub-contract management experience (preferred).
  • Project management experience with proficiency in project management software (Smartsheet preferred).
  • Demonstrated knowledge of MS Excel, including pivot tables.
  • Fluency in written and spoken Spanish is preferred.
  • Experience with Smartsheet, Canva, mWater, Virtuous.
