About The Position

The Grants Coordinator plays a key role in the success of JVS’s institutional giving portfolio by ensuring proposals, reports, deadlines, and materials move smoothly from planning to submission. This role supports the grants team by managing grant portals, preparing attachments, maintaining accurate records across systems, and helping ensure all submissions are complete, timely, and well-organized. This is an ideal role for someone who is detail-oriented, curious, and eager to grow in the nonprofit sector, who enjoys using organization, project management, and collaboration to support economic mobility for hundreds of Californians. This role will report to the Director of Grants Strategy for an initial period before transitioning to report directly to the Grants Manager.

Requirements

  • At least 1–2 years of relevant work experience or demonstrated transferable experience in administrative, project coordination, or operational roles.

  • Prior administrative, project management, or research experience

Responsibilities

  • Manage grant portal activity, ensuring applications, reports, budgets, and attachments are uploaded accurately and submitted on time
  • Create, maintain, and update proposal checklists, submission calendars, and funder files
  • Prepare standard attachments (board lists, financial statements, organizational documents) and coordinate with Finance and Operations to ensure accuracy
  • Track and collect required materials from internal teams and proactively follow up on outstanding requests
  • Support quality assurance by reviewing proposals for completeness, formatting, consistency, and compliance with funder guidelines
  • Draft select administrative-facing components of grant applications and reports, including organizational descriptions, program overviews, and boilerplate language
  • Maintain and update JVS’s grants content library, including templates, attachments, and standard language.
  • Enter and maintain accurate grant records in Salesforce, SharePoint, LastPass, and related systems
  • Run basic reports to support tracking of submissions, deadlines, and progress toward team goals
  • Support data pulls and coordination with internal teams to ensure proposals reflect accurate and current information
  • Assist the grants team as we research, develop, and refine AI tools that improve efficiency, accuracy, and workflow.
  • Partner with Program, Marketing, Finance, and other teams to ensure grant materials reflect current programming, outcomes, and accurate budgets
  • Support team effectiveness through participation in meetings, funder preparation sessions, post-submission debriefs, and preparation of briefing materials
  • Recommend process improvements and help maintain organized, accessible funder records and communications
  • Proactively follow up with staff to keep grants-related requests moving forward.
