Learn more about us at https://llac.org/ How You Will Make an Impact The Grants Coordinator provides operational and writing support for LLAC’s Grant Department, assisting in all aspects of grant research, proposal development, and compliance tracking. The position ensures consistency across federal, state, county, and foundation applications and supports the Director of Grants' internal documentation and communication systems. This position reports to Director, Grants Writer; Vice President, Finance or designee. Manage the dedicated grants inbox, standardizing responses and tracking follow-up. Coordinate and schedule meetings with principals, program leads, and external partners. Assist in creating and updating the LLAC Grant Manual and related materials. Research and summarize new funding opportunities aligned with LLAC goals. Collaborate across departments to collect data and narratives for proposals. Administrative & Compliance Support Maintain organized grant files, track deliverables, and monitor deadlines. Support completion of required fiscal and narrative reports. Attend and document meetings, maintaining clear records for compliance. Participate in regular training sessions assigned by the Director of Grants to remain current on evolving regulations and reporting requirements. Coordination & Oversight Receive functional oversight from the Director of Grants and the Vice President of Finance. Participate in weekly check-ins to review priorities, monitor progress, and maintain a balanced workload. Collaborates with supervisors to establish performance goals, reviewed monthly through the Clearview performance tracking system. The employee receives oversight from both the Director of Grants and the Vice President of Finance Weekly check-ins to align priorities and ensure balanced workload. Performance Metrics Grant Management: Meets timelines for application preparation, submission, and follow-up; monitors the volume of opportunities pursued and funding secured. Administrative Accuracy: Maintains accurate records, ensures full compliance with deadlines, and produces high-quality documentation. Program Delivery: Completes program deliverables on schedule, including events, onboarding activities, and dashboard updates. Stakeholder Engagement: Demonstrates positive and collaborative relationships with school-site staff and external partners, as reflected through feedback. Professional Growth: Actively engages in training and applies new knowledge to enhance workflows and improve process efficiency. Perform administrative duties, responsibilities, and activities assigned, which may be changed or modified from time to time.

Requirements

  • Knowledge of grant processes, including application requirements, reporting, and compliance.
  • Strong organization and project-tracking skills and ability to manage deadlines and multiple funding streams.
  • Understanding of grant writing principles, proposal development, and reporting processes.
  • Ability to interpret and follow grant guidelines, contracts, and funding requirement.
  • Strong written and verbal communication skills, including ability to draft reports and compile supporting documentation.
  • Ability to interpret and apply laws, regulations, policies, and procedures.
  • Ability to prioritize work, excellent organizational skills, and initiative to improve processes.
  • Ability to handle multiple competing assignments and deadlines while being flexible and adaptable.
  • Attention to detail and accuracy in tracking documents, budgets, and reporting deliverables.

  • Bachelor’s degree in Public Administration, Business Administration, Finance Communication, Education or related field required, or two years equivalent work experience demonstrating applicable skills in a relevant industry or discipline.
  • Two years’ experience in grant coordination, grant writing, contract administration, program support, budget monitoring, and data tracking.
  • Ability to perform job duties with minimal supervision; dependability, high quality, and quantity required.
  • Ability to travel in performance of job duties is required.

Nice To Haves

  • Experience in non-profit compliance, education, or government grant, supporting the full grant lifecycle is required
  • Experience with grant or project management tools, databases, or shared drives preferred.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and basic database or grant-management systems.
