About The Position

The Grant Coordinator reports to the Institutional Giving Manager and is an integral member of the Philanthropy team at Voices for Children. This position is essential to ensuring compliance with all institutional grants, including government and foundation funding. The Coordinator manages budgets, timesheets, attachments, reporting, and deadline tracking, while maintaining accurate grant documentation and data systems. Strong attention to detail, initiative, and the ability to manage multiple projects concurrently are critical. Additionally, the role requires the ability to compose clear and concise narrative reports that effectively communicate grant compliance and program outcomes to funders. The Grants Coordinator will support all aspects of the grant cycle from application to post-award grant management with a focus on government grants. The Grants Coordinator will be responsible for gathering relevant data and research, preparing supporting attachments, including budgets and expenditure documentation. The Grants Coordinator will ensure all funder reporting is complete, accurate, and timely. The Grants Coordinator will work with staff across the organization to achieve the grant compliance goals for each grant that is awarded to Voices for Children.

Requirements

  • 2 – 3 years of experience in grant compliance, nonprofit finance, or related field.
  • Knowledge of government and foundation grant administration.
  • Strong organizational and financial management skills.
  • Proficiency in the Microsoft Office Suite, with intermediate to advanced proficiency in Excel, and familiarity with grant/fund accounting systems.
  • Demonstrated initiative, problem-solving, and ability to manage multiple deadlines.
  • Excellent communication skills for cross-functional collaboration and coordination with external stakeholders.

Nice To Haves

  • Experience with nonprofit compliance audits and reporting.
  • Familiarity with Raiser’s Edge or similar CRM systems.
  • Prior experience working with government grants and institutional funders.

Responsibilities

  • Lead the submission process for institutional grant applications, ensuring all components, including narratives, budgets, and required attachments, are complete, accurate, and submitted on time.
  • Develop and maintain systems for grant compliance and reporting across all institutional grants.
  • Prepare and reconcile grant budgets in collaboration with the Finance team.
  • Track expenditures and ensure proper documentation for audits, site visits, and funder requirements.
  • Monitor reporting deadlines and submit accurate, timely reports.
  • Maintain grant tracking performance metrics.
  • Serve as liaison between VFC and funders for grant compliance-related matters.
  • Proactively identify grant compliance issues and resolve them.
  • Assist with internal audits as needed.
  • Complete mandated training and maintain accurate timekeeping records.
  • Support Philanthropy team during special events on occasion, as required.
  • Complete all required training on time.
  • Record daily time and/or leave in VFC’s timekeeping system and ensure accuracy.
  • Participate in department meetings and organizational initiatives.
  • Continually work to further the Mission and Vision of Voices for Children.
  • Perform other duties and special projects as assigned by management.
