About The Position

The Administrative Office houses instrumental support personnel of the agency, including the following departments: Finance/Accounting, Human Resources, Information Technology, Funds Development, and Data Management. Under the general supervision of the Grant Accounting Manager, the position should be able to work independently with minimal supervision and possess all the appropriate skills to support timely presentation of government grant invoices to funding agencies. This position also should be able to communicate directly with the government officials who supervise grant reporting, billing review, and approval, and contract management. The position applies principles of GAAP and financial analysis in order to maintain the general accounting systems; reconciles various general ledger accounts, prepares journal entries, provides payroll and billing/grant billing functions, assist in developing contract budgets and modifications, financial and variance analysis related to grant performance, and performs other

Requirements

  • Experience in accounting and finance principles acquired through completion of a Bachelor’s degree in Accounting, Finance, Business Administration or other closely related equivalent experience.
  • Approximately three years of progressively related accounting and finance experience; expertise in detailed general ledger accounting; ability to resolve complex accounting problems and prepare financial analysis.
  • Strong ability to effectively communicate both orally and in writing with Executives, Directors, Program managers and/or supervisors, as well as outside auditors and other client related staff members.
  • Experienced analytical skills required in order to assist in the development and maintenance of the accounting and finance related tasks.
  • Thorough knowledge of general ledger accounting, budgeting, forecasting and financial analysis techniques.
  • Ability to use personal computers, spreadsheet, and word processing software; knowledge of Microsoft Excel and Word.
  • Ability to learn accounting software.

Nice To Haves

  • Past Certified Public Accountant experience with minimum of one year of accounting and finance experience is preferred; expertise in detailed analysis of general ledger accounts; ability to resolve complex accounting problems.

Responsibilities

  • Prepare grant related billings to County, City, and Private funders in accordance with their grant requirements, as necessary. Includes extracting information from general ledger expenses report and reconciling against the grant budgets. Prepares billing invoices with all supporting documentation to be filed with the billing invoices in accordance with Federal OMA A-133 requirements
  • Communicate with government agencies to confirm approval of invoices submitted and follow up on receivables.
  • Keep the Grant Accounting Manager informed on the status of the grant invoices produced and collected.
  • Conducts special analyses and projects, as assigned, and prepares reports detailing findings for Executive Director or Program manager’s review.
  • Coordinates all grant related efforts with independent, regulatory, and other outside auditors; explains accounting practices and systems; prepares requested material as required.
  • Record monthly revenue accruals to ensure accurate financial reporting
  • Record Accounts Receivable invoices on a monthly basis
  • Collaborate with other team members to track staff’s hours for the accuracy of grant billings
  • Monitor AR Aged Receivables reports to endure timely reimbursement
  • Assist in month-end closings
  • Involve in year-end audits
  • Perform other duties as assigned by supervisor
