About The Position

The Grant Administrator is responsible for managing a diverse sponsored award portfolio. This role serves as the first point of contact for award administration and collaborates with field and Home Office staff to ensure sponsored activities are executed efficiently, effectively and in accordance with sponsor and Association guidelines.

Requirements

  • Bachelor’s Degree preferred or equivalent work experience required
  • 3-5 years of working in a research/grant accounting environment, non-profit accounting experience preferred
  • Prior experience managing federal awards preferred
  • 2-3 yrs. working knowledge and/or willingness to become familiar with Uniform Grant Guidance as it relates to Audits of States, Local Governments, and Non-profit Organizations
  • 1-3 yrs. experience with Workday or other automated accounting and financial reporting systems is strongly preferred.
  • Skilled user of MS Office (Word, Excel, PowerPoint)
  • Ability to problem solve and adapt to an evolving work environment
  • Proven ability to build internal relationships and serve as a resource to and support to field and Home Office staff
  • Ability to work well independently and with a team
  • Excellent time management skills, aptitude for proper task prioritization, and a results-oriented work process
  • Excellent oral and written communication skills

Responsibilities

  • Provide pre- and post award administration for the grants process throughout all stages including budget proposal development, contract implementation, award set-up, invoicing, payment application, reporting, and close-out.
  • Review, confirm, and maintain strong knowledge of all requirements outlined in contracts and Memorandum of Understanding documents involving grant-related activities.
  • Assist with the development of detailed budgets for grant applications and renewals.
  • Ensure that all project costs are accounted for in proposed budgets, including cost sharing and indirect costs.
  • Award planning, including initial kick-off meeting for all related parties.
  • Monthly Financial reconciliation of portfolio of awards to ensure expenses are recorded accurately, cost transfers completed in a timely manner, and award close-out is properly executed.
  • Analyze expenses and projected spending to maximize the use of available funds and ensure award compliance
  • Communicate spending projections to share with field and Home Office grants staff and revise award budgets as necessary.
  • Maintain and optimize required processes for compliance with Federal Grant Award requirements; including the development and submission of monthly invoices and accurate application of grant payments.
  • Compile and submit all reporting requirements as outlined by federal and state grants in accordance with mandated guidelines.
  • Periodically review the effectiveness of the financial reporting process and meeting structure, adjusting as necessary to improve efficiency and communication.
  • Communicate effectively with sponsors, Association colleagues, sub-grantees, contractors, and all parties involved in the execution of sponsored awards.
  • Maintain up-to-date knowledge and expertise in federal, state, local and other agency regulations and policies to assure compliance with Uniform Guidance 2 CFR 200, various governmental agencies, and other sponsor regulations and Association policies.
  • Other duties as assigned.
