About The Position

The Grant Administrator II at Florida International University (FIU) plays a crucial role in supporting the Herbert Wertheim College of Medicine by collaborating with faculty to prepare and submit proposals for external funding. This position involves ensuring compliance with submission deadlines, educating the research community, maintaining records, and managing budgets for funding submissions. The Grant Administrator II also liaises with various departments to ensure ethical research practices and oversees financial reporting related to sponsored projects.

Requirements

  • Bachelor's degree and two (2) years of grant or contract administration experience.
  • Certified Research Administrator (CRA) and two (2) years of grant or contract administration experience.
  • Equivalent combination of education and six (6) years of grant or contract administration experience.
  • Equivalent combination of relevant education and/or experience.

Responsibilities

  • Collaborates with faculty in the preparation and submission of proposals for external funding.
  • Reviews applications for consistency and ensures that required elements are present and that all submission deadlines are met.
  • Educates the Herbert Wertheim College of Medicine (HWCOM) research community through training, website development, and dissemination of guidance.
  • Maintains records of all HWCOM Faculty research profiles and required trainings.
  • Works with Principal Investigators (PIs), departments, and chairs to ensure personnel engaged in research complete all necessary trainings and/or certifications within the given timeline.
  • Creates and modifies budgets for external funding submissions to meet agency requirements.
  • Reviews and approves all HWCOM funding submissions in PantherSoft, confirming appropriateness of faculty effort and overall budget consistency.
  • Prepares funding submission summary and analysis for the Chair and the Dean before proposals are routed for approval.
  • Assists faculty in identifying funding submission opportunities from Federal, State, and other funding sources.
  • Liaises with the Office of Research and Economic Development (OREO) to ensure ethical research conduct.
  • Oversees and prepares distribution of monthly sponsored projects reports and budget vs actuals for approval.
  • Reconciles project awards by maintaining logs to track outstanding invoices and project expenses.
  • Maintains records of all grant documents for regulatory and auditing purposes.
  • Analyzes and submits data for audit and other key reports in collaboration with General Counsel's Office.
  • Manages budgetary exceptions and provides resolutions in a timely manner.
  • Calculates effort based on NIH salary cap and mandatory cost on grants.
  • Submits allocation changes for faculty & staff and prepares payroll and non-payroll transfers.
