About The Position

The University of Lynchburg, a private, regional university in the beautiful foothills of the Blue Ridge Mountains in Central Virginia, is seeking applicants for Full-time, Exempt, Graduate Enrollment and Operations Coordinator in the Department of Communication, Marketing, and Enrollment. The primary focus of this position is serving as a vital nexus among prospective students, current students, academic units, financial aid offices, and alumni, the coordinator ensures that our graduate programs are attractive, accessible, and supportive. This role helps drive enrollment growth, supports student success and retention, and fosters long-term alumni engagement — all essential to the health and reputation of our graduate offerings. This position reports to, is supervised by, and evaluated by the Director of Admissions. The evaluation of work performance will be ongoing and will be carried out by the Director of Admissions. It will include the specific duties and responsibilities of this position description plus employee attitude and general working behavior.

Requirements

  • Exceptional communication, organizational and leadership skills.
  • Experience in both academic and administrative aspects of higher education.
  • The successful candidate must possess a Bachelor’s degree
  • Must be able to work independently as a part of a professional team.

Responsibilities

  • Serve as a liaison between Graduate Admissions, Registrar, Financial Aid, and other campus offices (e.g., Student Services, Academic Departments) to ensure smooth transitions from admission to enrollment.
  • Serve as an advocate for graduate students as it relates to their student experience and issues they may come across.
  • Provide assistance with preparing onboarding related events.
  • Coordinate with other departments to ensure that staff and faculty are present and prepared.
  • Provide guidance and support to prospective and admitted students about financial aid, grant, and scholarship opportunities.
  • Coordinate with Financial Aid offices and academic departments to ensure timely processing of funding applications and award notifications.
  • Planning and coordinating orientation sessions, developing communication plans for new students, and facilitating a smooth transition from admit to enrollment.
  • Serve as a resource for enrolled graduate students, guiding them to campus services, academic resources, and support services (e.g., career development, advising, counseling, etc.).
  • Assisting with student registration, troubleshooting registration errors, maintaining accurate student records and enrollment status, and ensuring compliance with academic policies.
  • Assist with academic warning and suspension letters
  • Serve as liaison with undergraduate advisor for pathway students from undergraduate to graduate
  • Facilitate graduation processes and ensure graduating students receive support for deadlines, paperwork, and transition.
  • Assisting transition from student to alumni and offering ways for alumni office to engage with graduate students
  • Establish and maintain strong working relationships with program directors, deans, faculty, financial aid offices, registrar, student support services, and alumni relations.
  • Participate in planning meetings, committees, and cross-department initiatives related to graduate program management, recruitment, and student success.
