About The Position

The College of Integrative Sciences and Arts (CISA) seeks a dynamic Graduate Advisor to join our Academic Strategy and Student Experience Team (ASSET) at the ASU Polytechnic campus. Reporting to the Assistant Director of Academic Services, this position plays a key role in advancing student success through graduate advising, retention initiatives, and recruitment efforts. The Graduate Advisor will provide individualized academic guidance, support timely degree progression, and help strengthen persistence and completion through proactive outreach and strategic interventions. In partnership with faculty, staff, and campus stakeholders, this role will also contribute to graduate student recruitment strategies, including outreach, admissions support, and engagement activities that foster a strong graduate community within CISA. This position may be assigned to support graduate advising and recruitment efforts for one or more academic units within the College of Integrative Sciences and Arts, including the School of Counseling and Counseling Psychology, the School of Applied Professional Studies, and the School of Applied Sciences and Arts, as needed. The ideal candidate is a highly organized, detail-oriented professional with strong analytical, communication, and interpersonal skills. They bring a solid understanding of higher education operations and the ability to interpret and apply institutional policies to effectively support graduate student success. Requirements

  • Bachelor's degree and three (3) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.

  • Experience supporting graduate student recruitment pipelines, including prospect tracking, outreach, and yield-related activities.

  • Demonstrated knowledge of evidence-based academic advising strategies, practices, and student support approaches.
  • Ability to assess student needs and respond to general requests for information and assistance with professionalism and accuracy.
  • Demonstrated judgment in managing urgent or conflicting requests and escalating appropriately when needed.
  • Strong problem-solving skills and the ability to navigate complex processes and systems effectively.
  • Experience using a collaborative, student-centered approach to develop solutions and resolve student concerns.
  • Ability to guide students through curriculum requirements, connect them to appropriate resources, and support their academic goals while adhering to university and college guidelines.
  • Commitment to continuous learning and maintaining up-to-date knowledge of key university and college resources to enhance recruitment and advising effectiveness.

Responsibilities

  • Review, update, and maintain graduate student records using internal and external systems (iPOS, DARS, Graduate Application Review System, PeopleSoft, Microsoft Office, Google Sheets, etc.); compile and provide data as requested.
  • Respond to inquiries about CISA Graduate Programs and deliver advising and informational meetings for prospective and current students, including individual appointments and group sessions, in person and through phone, email, Zoom, classroom visits, and orientation programming.
  • Monitor the graduate admissions and application process for CISA Graduate Programs, ensuring applicants progress through the pipeline in alignment with college and university deadlines.
  • Manage recruitment-related activities for CISA Graduate Programs, by tracking prospective students, coordinating participation in ASU Personalized Graduate Admissions (PGA) and Graduate Earned Admission (GEA) initiatives, and working with faculty and college partners to support enrollment goals.
  • Advise graduate students within CISA Graduate Programs to support academic success, including interpreting policies, assisting with course planning, degree progress, graduation requirements, academic concerns, and iPOS submission.
  • Plan and facilitate orientation sessions for newly admitted students to support onboarding and a successful transition into graduate study.
  • Review and maintain student-facing program communications and resources, ensuring accuracy and consistency.
  • Monitor course availability and enrollment trends and provide input related to course planning and scheduling.
  • Prepare periodic reports and documentation related to program activities, progress, status, and other required reporting for leadership or external stakeholders as needed.
  • Serve as a liaison and maintain effective working relationships with students, faculty, staff, and community partners to support program operations and objectives.
  • Support graduate student retention through proactive outreach, early interventions, and consistent follow-up with students who may be at risk academically or administratively.
  • Collaborate with faculty, Program Directors, and campus partners to develop and implement retention initiatives that promote timely degree completion and student success.
  • Coordinate targeted communication campaigns to improve student engagement, reinforce key deadlines, and connect students to appropriate resources and support services.
  • Provides support for accrediting and credentialing bodies (e.g., APA, MPCAC, AZBBHE).
  • Serves as liaison to Graduate College to support doctoral and master student activities and milestones.
  • Provides administration and coordination of undergraduate and graduate course schedules, offerings, and edits.
  • Schedules courses and dissertation defenses in ASTRA-enabled rooms.
  • Processes student enrollment overrides, quick enrolls, and meets with students as needed.
  • Provides administrative support for student site application process across all levels of the process (pre-screening, application, and disposition).
  • Provides administrative support to the admissions process.
  • Provides administrative support and coordination for counselor comprehensive examinations.
  • Provides assistance with School assessment reports and additional data reporting.
  • Attends and participates in SCCP Faculty meeting.
