About The Position

The Golf & Social Group Services Coordinator provides Reservations Service to groups of 6-24 guests. This includes reservations for rooms, golf, dining, spa services and conference/banquet events, with a comprehensive contract. The role functions cohesively with the golf staff in providing personalized experiences for our guests, and as a partnership with each client. The Golf & Social Group Services Coordinator will have extensive knowledge of the resort, including lodging, spa, golf, and dining options and details.

Requirements

  • High School diploma or GED required, 2–4-year degree preferred.
  • 4+ years of work experience in customer service, preferably in Hospitality.
  • Experience in a call center or an administrative role is a plus.
  • Property Management System experience highly preferred.
  • Excellent oral and written communication.
  • Excellent interpersonal skills.
  • Strong computer skills.
  • Strong problem-solving skills.
  • A passion for providing exceptional customer service.

Responsibilities

  • Answer new inquiry and existing Inside Sales calls, emails, and phone messages in a timely fashion.
  • Quote rates and availability during calls, ensuring the guest contact has a complete understanding of the details of each package including terms and conditions of the contract.
  • Send out emails outlining rates and availability per guest requests – within 24 hours of initial request.
  • Book stay/program for guests, including golf, spa, dining, transportation, meeting space/catering, and other activities in both Amadeus Advance Sales system and Property Management Systems.
  • Create, send out, revise, and verify contracts for booking, ensuring appropriate communication and follow-up on deadlines.
  • Attend to all administrative duties associated with the recordkeeping of Inside Sales details.
  • Obtain, confirm, and verify room lists with group contacts.
  • Create Group Resume documents and finalize group details prior to arrival.
  • Detail banquet events with client, ensuring guest and business needs are met.
  • Create necessary paperwork so that all parties (external and internal) are aware of the meeting/event and can plan accordingly.
  • Create group billing estimates and submit to accounting for credit card preauthorization.
  • Attend daily BEO Meeting if we have groups utilizing banquet space.
  • Attend weekly Resume Meeting.
  • Perform site visits/meet with client when requested.
  • Make post-event follow up calls.
  • Handling of all Tour Operator Bookings under 24 guests.
  • Call past groups with offers to rebook for coming year.
