The GME Program Coordinator at Duke University School of Medicine plays a crucial role in the management and administration of the Graduate Medical Education program. This position involves collaboration with various stakeholders to ensure compliance with national requirements, facilitate recruitment activities, and enhance the educational environment for residents. The role includes responsibilities in coordination, compliance, excellence, and administration, with an emphasis on program management and support for the Program Director.

  • Support comprehensive and robust annual evaluations of residents, office staff, faculty, and program directly involved with resident education.
  • Input and update rotation and DFM schedules in QGenda, MedHub, and/or Duke Box.
  • Coordinate and track vacation/sick days in QGenda and MedHub.
  • Coordinate semi-annual 1:1 meetings with Program Director and Residents.
  • Participate in the creation, design, and publishing of all recruitment material sent to prospective residents.
  • Develop a thorough knowledge of and disseminate information regarding requirements of the AAMC National Resident Ranking Program.
  • Organize and facilitate the annual recruitment of residents, including interview days.
  • Develop knowledge and use of the Electronic Residency Application Service (ERAS) for resident recruitment.
  • Coordinate special events and conference travel.
  • Acquire knowledge of current rules, regulations, and requirements that govern a residency.
  • Update residency databases to enhance program efficiency.
  • Upload information to ACGME and/or the GME office as needed.
  • Ensure resident education and compliance with national, hospital, departmental, and program policies.
  • Update/track milestones in MedHub and ACGME.
  • Create and submit monthly AHEC reports by the 10th of each month.
  • Provide management assistance to Program Director, faculty, residents, and departmental staff regarding policies and operational procedures.
  • Interface with the Institutional office of GME and work with the Designated Institutional Official (DIO).
  • Collaborate with other departments to ensure quality resident education.
  • Communicate with Residents and Department Leadership regarding departmental and program activities.
  • Coordinate and track residency onboarding in conjunction with other division staff.
  • Prepare and disseminate departmental and residency program information for meetings.
  • Act as purchasing agent for program materials at the discretion of the Residency Program Director and Divisional Administrator.
  • Monitor and facilitate Program Letters of Agreement (PLAs) and Affiliation Agreements (AAs) for residency rotation and electives.
  • Bachelor's degree in a relevant field.
  • Minimum of three years of experience, preferably in graduate medical education.
  • Familiarity with ACGME institutional requirements and Duke University Hospital policies preferred.
  • Strong self-directed program management skills.
  • Demonstrated ability to work with a variety of stakeholders including physicians and residents.
  • Proficiency in computer databases and Microsoft Office Suite (PowerPoint, Excel, Word).
  • Proficiency in Qgenda strongly preferred.
  • Knowledge of budgetary and financial processes.
  • Experience in medical education and program management.
  • Knowledge of ACGME Common Program Requirements and Specialty Board requirements.
