The Department of Emergency Medicine is seeking highly motivated candidates to join our team as GME Program Administrator Intermediate. The position will join a growing team of professionals supporting Emergency Medicine programs at UM. Under the administrative direction of the Manager, Education Operations, the GME Program Administrator Intermediate will function as the program management lead in all areas related to the University of Michigan Emergency Medicine Emergency Medical Services, Pediatric EM, and Medical Education Fellowship Programs; specifically, continually assessing and participating in long-range trainee recruitment strategies, project management, workflow directives, maintaining and analyzing reports in Graduate Medical Education databases (MedHub, WebADS) and, effectively communicate with faculty and trainees regarding a wide-range of issues. The GME Program Administrator Intermediate works in tandem with the Program Directors (PD) and other members of education leadership within graduate medical education.

  • Manage recruitment, physician credentialing and licensure.
  • Maintain policies and procedures for program.
  • CME applications and credit management.
  • Oversight of CCC, holiday pay, meal money and parking.
  • Maintain EVUs for department.
  • Annual orientation and graduation.
  • Assist program directors with internal/external review and ADS preparation for Fellows.
  • Ensure fellows are meeting minimum requirements directed by the ACGME.
  • Distribute ACGME Milestones at the end of the semi-annual review process.
  • Summarize and enter ACGME milestones in MedHub and/or WebADS system bi-annually.
  • Assist PDs with annual program review.
  • Reporting monthly house officer activities to GME, quality/safety.
  • Maintenance of all aspects of MedHub.
  • Monitoring of Work Hours, evaluations, generating monthly reports.
  • Scheduling updates, vacations, LOAs.
  • Create expense reports for reimbursement and track program and fellow expenses; monitor fellow clinical scheduling.
  • Organize interviews, on-boarding, meetings and manage education allowance.
  • Work closely with the fellowship director.
  • Faculty support for PD fellowship reimbursements, etc.
  • Cross-training and other duties as assigned.
  • Bachelor's degree in related field OR equivalent combination of education and experience.
  • 3-5 years of progressively responsible relevant administrative experience.
  • Ability to work independently and work well with faculty, fellows, and peers.
  • Must be able to prioritize workload and maintain focused work in a high volume, deadline-driven environment.
  • Perform with a very high degree of accuracy, attention to detail and confidentiality.
  • Outstanding punctuation, spelling, grammar, proofreading, editing and formatting skills are required.
  • Good organizational and communication skills.
  • Knowledge of electronic calendaring and the Microsoft Office Suite of Products.
  • Master's degree or other graduate degree in a related field.
  • Prior experience working in academic healthcare or an academic research setting.
  • Knowledge of University organizational structure, policies, procedures, and practices; and working familiarity with and appreciation of the diverse cultures of the schools, colleges, and units of the University.
  • Knowledge of medical education from a GME perspective.
