About The Position

The Gift Processing Specialist at United Way of Metropolitan Dallas is responsible for accurately processing a high volume of donations and payments within the organization's donor database. This role involves auditing documentation, ensuring compliance with processing guidelines, and maintaining data integrity. The specialist will also conduct peer reviews, enter donation information, and collaborate with various teams to support the organization's mission of creating social change in the community.

Requirements

  • High school diploma required; college degree preferred.
  • 2 to 4 years of administrative or financial record-keeping experience.
  • Database and/or finance administrative support preferred.
  • Cash-handling experience preferred.
  • Nonprofit experience helpful.
  • Advanced level skills in Microsoft Excel required.
  • Strong attention to detail and excellent proofreading skills.
  • Experience with fundraising, CRM, and/or database systems preferred.
  • Ability to manage and prioritize multiple tasks to meet deadlines.
  • Strong verbal and written communication skills required.
  • Ability to manage telephone and in-person communication with strong customer skills.

Nice To Haves

  • Experience in nonprofit organizations.
  • Familiarity with financial and record-keeping techniques.

Responsibilities

  • Perform thorough reviews of donation and payment batches to ensure compliance with GAAP & IRS standards.
  • Analyze donor/company historical giving records for accurate coding and revenue alignment.
  • Proactively search third-party portals for necessary donation information.
  • Compile, sort, and format spreadsheets containing donation data for CRM system posting.
  • Enter donation and payment information into the CRM system with a focus on accuracy.
  • Research and resolve system errors and rejected items during processing.
  • Perform audits under dual control for cash, checks, or sensitive information received.
  • Notify departmental leadership of discrepancies identified during processing.
  • Submit adjustment requests for changes to processed donations and payments.
  • Complete all assigned tasks for month-end closing processes by deadlines.
  • Serve on the team rotation for processing organizational mail received.
  • Add new constituent records to the CRM system, ensuring compliance with data standards.
  • Identify and perform updates on company processing profiles for future donations.
  • Collaborate with cross-functional team members to obtain necessary documentation for donations.
  • Send weekly notifications of large and high-profile gifts received.
  • Assist with other team processing functions and data management projects as needed.
  • Provide high-level customer service to internal and external customers.
