About the position

The General Sessions Deputy Clerk is responsible for administrative and legal work that assists in the coordination of civil and criminal cases within the General Sessions Court of Marshall County. This role involves organizing court dockets, notifying relevant parties about court proceedings, collecting fines and fees, and serving as a liaison between judges, law enforcement, and the public. The position requires strong organizational and interpersonal skills, as well as a solid understanding of courtroom procedures and legal processes.

Responsibilities

  • Assist the public regarding criminal charges, traffic citations, and civil issues, and process payments.
  • Help individuals file suits and explain the filing process for cases brought before the court.
  • Prepare dockets for General Sessions Court and schedule court dates for officers, attorneys, and prosecutors.
  • Assist attorneys with civil filings and provide necessary information for their cases.
  • Process garnishments and receipts for garnishment payments.
  • Review hearing dockets prior to court hearings to ensure all cases have received service and subpoenas have been issued.
  • Reset court dates as necessary and notify involved parties.
  • Perform data entry for court activities including court dates and fees collected.
  • Assist in collecting fees and fines, entering information into the computer, and preparing bank deposits.
  • Sign warrants and assign bonds for officers, including orders of protection for domestic bonds.
  • Issue failures to appear notices for defendants and notify bonding companies if bonds were posted.
  • Conduct jail arraignments with General Sessions Court judges.
  • Enter probation violations and submit copies to the Sheriff's office.
  • File motions and prepare transport orders for inmates in custody.
  • Assist individuals with traffic citations and notify the Department of Safety as needed.
  • Rotate cash boxes and ensure accurate recording of payments at the end of the day.
  • Enter warrants and traffic tickets into the computer database and update as necessary.
  • Prepare weekly Public Defender reports and monthly cost compliance dockets.
  • Coordinate trial dates for defendants, officers, and prosecutors after consulting their schedules.
  • Monitor bonding companies to ensure compliance with county obligations.
  • Serve as a liaison between the judge's office, law enforcement, inmates, and the public.
  • Answer incoming calls, explain court proceedings, and provide general information about General Sessions Court.
  • Maintain files used in court proceedings and stamp file orders, petitions, and motions.
  • Issue and enter civil warrants into the computer and manage costs for service of civil warrants.
  • Assist judges with civil matters and enter information regarding civil cases into the computer.
  • Perform related duties as required.

Requirements

  • High school diploma or GED with coursework in criminal justice, law enforcement, or public administration.
  • Minimum of two years' experience in court operations or law enforcement.
  • Strong decision-making, organizational, and interpersonal skills.
  • Considerable knowledge of legal transactions and proceedings associated with General Sessions Court operations.
  • Knowledge of federal, state, and local laws regarding defendants, victims, and witnesses.
  • Ability to coordinate daily operations of General Sessions Court effectively.
  • Ability to interact professionally with defendants, witnesses, law enforcement, and the public.
  • Ability to make timely decisions regarding court operations and compliance with court orders.
  • Ability to perform accurate data entry and account for all fees and fines received.
