About the position

The Office represents the State of Florida in state and federal civil and criminal courts, from trial courts to the Supreme Court of the United States. This position is responsible for all aspects of agency purchasing and contracts, including the procurement of both commodities and services through purchase requisitions, purchase orders, contracts, etc. This position will perform other duties relating to the responsibilities of the Bureau of General Services and customer support. Incumbent must work efficiently and effectively to ensure timely and accurate performance of all duties. Incumbent is responsible for knowing and complying with all statutes, rules, policies, and procedures applicable to the duties and responsibilities of the position.

Responsibilities

  • Research, draft, manage, monitor, and process contracts upon request and provide support for other contracts.
  • Responsible for all aspects of agency purchasing including providing research, processing requisitions for agency purchases, and conducting research to determine the availability, location, distribution, structure, and pricing of commodities and services for the agency.
  • Train General Services staff to use MFMP, set up new accounts, monitor updates, maintain the agency’s MFMP Flair encumbrance account and distribution lists.
  • Approve agency P-Card transactions as needed and monitor and process Purchasing Desk tickets in a timely manner.
  • Review and submit invoices for payment for agency cable and newspaper services.
  • Responsible for the procurement, tracking, and reporting of all agency copiers and printers.
  • Support the solicitation processes of the agency including researching and compiling information necessary for research, analysis, and development of standards and specifications.
  • Analyze, develop, and prepare supporting documentation for single source, exceptional purchases, and alternative contract agreements.
  • Serve as the initial point of contact for the Bureau of General Services, greeting visitors and conducting daily administrative activities.
  • Coordinate and order office supplies for General Services, assist with research and report preparation, and maintain files as needed for the unit.
  • Maintain a clean and organized workspace and effective central filing system (physical and electronic).

Requirements

  • Four years of professional experience in general services/support services operations, purchasing, complex procurements, contracts, p-card management, telecommunications, and/or real property/facilities management.
  • An AA or BA in any degree area may substitute for two of the four years of required work experience.
