About The Position

The General Affairs Administrative Coordinator provides support to the day-to-day administrative activities across the various departments including but not limited to processing internal approval documents (Ringi), personal data protection, handling of company’s insurance and registration and procurement of equipment.

Requirements

  • A high school diploma or equivalent preferred
  • One to two years of administrative or clerical experience preferred
  • Strong organizations skills with an eye for detail
  • Ability to read, analyze, and interpret general business data and effectively respond to the data.
  • Ability to write routine reports and correspondence.
  • Ability to effectively present information and respond to questions from vendors, customers, employees, or others involved or associated in the warehouse section function.
  • Ability to work with mathematical concepts relevant to the role such as addition, subtraction, multiplication, and division.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • A valid driver’s license or ability to obtain one
  • This position calls for strong attention to detail; great organizational skills; flexibility to adapt to changing organizational needs.

Nice To Haves

  • General knowledge of basic accounting a plus.
  • Any equivalent combination of formal training and/or experience which provided the necessary knowledge, skills and abilities thereof.

Responsibilities

  • Provides administrative support to ensure efficient office operations.
  • Supports in processing internal approval documents (Ringi) and other corporate documents.
  • Supports in liaising with the Japan team & legal counsel on matters related to legality issue.
  • Supports in the procurement process of supplies and equipment.
  • Supports in the overseeing of the company’s insurance, registration and trademark matters across the ASEAN countries.
  • Supports in arranging travel itineraries and accommodations for staff to include support in managing travel expenses and/or reimbursement process.
  • Responds to emails and other digital queries and correspondence.
  • Drafts and edits letters, reports, and other documents and in line with company standard operations procedures.
  • Works closely with other staff and supports other colleagues as needed.
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Supports in preparing meeting agendas, notes, and/or take meeting minutes.
  • Carries out administrative duties such as filing, typing, copying, scanning, etc.; develop, manage, and maintain filing systems both digitally and physically.
  • Supports in the planning and organizing of meetings, events, etc.
  • Other duties as instructed or assigned.
