About The Position

This role is responsible for the professional and thoughtful organization of the gallery’s artwork inventory, its safe handling, maintenance, and display within the gallery and private warehouse spaces. The role is intended to assist our Technical Coordinator and operations team with day-to-day management of viewings and inventory management as directed by our New York Viewings and Operations teams. The role requires an extreme attention to detail and strong working experience with installation of art objects. The role will also extend to assisting the Warehouse Team for organization, freelancer management, and viewing room installation. This role is part of the New York Operations team.

Requirements

  • Minimum of 5 years of professional experience in galleries, museums, or similar art handling roles (this is not an entry-level position).
  • In-depth knowledge of industry best practices for art handling, installation, and storage.
  • Strong attention to detail, problem-solving skills, and a proactive, team-oriented attitude.
  • Comfortable working independently and collaboratively in a fast-paced, professional environment.
  • Ability to communicate clearly and efficiently with colleagues across departments.
  • Professional appearance and demeanor are required at all times when interacting with staff, artists, and art world professionals.

Responsibilities

  • Work closely with and assist the Technical Coordinator and operations team to lead the installation of artwork for viewings.
  • Work closely with and assist the Technical Coordinator and Exhibitions Coordinator to facilitate the install/deinstall of gallery exhibitions
  • Point of contact for cross departmental communication for viewings
  • Maintain professional, organized environment for proper management of artworks.
  • Regularly update artwork specifications, condition images, and technical details using the gallery’s inventory system, SharePoint, and Articheck.
  • Execution of condition reports for newly received works, ensuring compliance with protocols and gallery standards.
  • Work closely with the Technical Team in London to maintain an overview of all technical issues that may be present. Monitor quality and finish of all incoming works, providing feedback to the registrar team and collaborating with fabricators/studios/conservators and the relevant artist liaison to ensure works are received in a saleable condition.
  • For secondary market works review external condition and conservator reports for works prior to consignment, feeding back any areas of concern.
  • Oversight of any requirements for treatment that may be required by conservators/fabricators.
  • Adhere to general packing and handling protocols as identified by the Technical Coordinator.
  • Maintain current relationships with fabricators, suppliers, and conservators.
  • Complete "Accidental Damage Reports" in case of artwork damage, have oversight of any repairs / treatment for assigned artist’s work.
  • Execute technical requirements in a cost-effective manner.
  • Offer support and guidance on technical issues raised by gallery staff or third parties.
  • Collaborate with external conservators to assist in the restoration/refabrication of damaged artworks.
  • Collaborate with the Exhibitions and Viewings teams to ensure smooth and orderly transition of artworks from warehouse to gallery and vice versa.
  • Consistently and thoroughly document artworks and installation processes for gallery wide reference when required.
  • Maintain clean and organized workspace and storage area
  • Delegate daily tasks and ensure gallery and warehouse organizational standards for freelance staff.
  • Review and update internal procedures/protocols for fine art handling within White Cube.
  • Record pertinent information under artwork records on the White Cube system including archiving information on new fabrication processes, materials and conservation processes.
  • Stay updated on safety and handling training courses. Completing relevant training where required.
  • Maintain clear records and receipts of expenditures and submit relevant expense forms ensuring all invoices and purchase orders are processed quickly.
