About The Position

Child Development Institute (CDI) seeks a motivated and detail-oriented Development Assistant who is passionate about CDI’s mission, vision, and core values. Reporting to the Development Director and working closely with the CEO as needed, the Development Assistant provides essential organizational, tracking, and administrative support for CDI’s fundraising and development efforts across clinical and administrative programs, including the Tarzana Campus and Early Learning Centers. This position focuses on development operations, donor stewardship, grant tracking and compliance, internal coordination, reporting, and event support, ensuring accuracy, timeliness, and effective communication across departments.

Requirements

  • Bachelor’s degree preferred or equivalent relevant experience.
  • 1–3 years of experience in nonprofit administration, development support, or related roles preferred.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines.
  • Proficiency in Microsoft Office and/or Google Workspace.
  • Professional discretion and reliability.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to fifteen pounds.
  • Occasional local travel for meetings or events as required.

Nice To Haves

  • Experience with donor databases/CRMs preferred (DonorPerfect a plus).

Responsibilities

  • Development Operations & Fundraising Support Assist the Development Director with organizing, tracking, and supporting all fundraising and development activities.
  • Support fundraising campaigns by maintaining timelines, tracking activity, preparing materials, and updating reports.
  • Prepare quarterly and ad hoc development reports for the Development Director, CEO, and Finance.
  • Maintain development calendars, task lists, and shared tracking tools.
  • Donor Relations & Stewardship Manage donor correspondence, including timely and accurate acknowledgment letters and emails.
  • Coordinate personalized donor stewardship by preparing correspondence for the Development Director and CEO.
  • Track donor giving history, engagement, and recognition needs.
  • Flag donors requiring personal notes, calls, meetings, or special recognition.
  • Track and manage tribute and memorial gifts and related notifications.
  • Maintain confidentiality and discretion in handling sensitive donor information.
  • Grant Tracking, Compliance & Reporting Maintain comprehensive grant tracking systems, including submissions, awards, payments, reporting deadlines, and restrictions.
  • Track grant checks received and coordinate with Finance to ensure accurate deposits and records.
  • Prepare and send grant acknowledgment letters.
  • Maintain grant calendars and organize digital and physical grant files.
  • Prepare and distribute grant deliverables lists to program, finance, and communications staff.
  • Solicit quarterly programmatic and financial reports from departments to support grant reporting.
  • Track submission of required reports and follow-up to ensure deadlines are met.
  • Compile grant reports for review by the Development Director prior to submission.
  • Donor Database & Records Management Manage and maintain the donor database, ensuring accurate data entry and updates.
  • Record and process all monetary and in-kind donations with correct attribution by fund, campaign, and source.
  • Reconcile donation records with the Finance Department.
  • Prepare donor lists, contribution summaries, and segmentation reports as requested.
  • Maintain accurate and organized donor records to support reporting and stewardship.
  • Financial Coordination & Expense Tracking Prepare expense reports for grants, fundraising events, and development activities.
  • Track expenses against grant and event budgets.
  • Coordinate with Finance on reimbursements, reconciliations, and supporting documentation.
  • Maintain financial documentation required for audits and grant reports.
  • Events, Sponsorships & Special Meetings Provide administrative and logistical support for fundraising, cultivation, and donor events.
  • Manage guest lists, RSVPs, attendance tracking, and event materials.
  • Track event sponsorships, ticket sales, and benefit fulfillment.
  • Coordinate VIP arrangements and donor recognition.
  • Support post-event follow-up, including gift tracking and acknowledgments.
  • Communications & Administrative Support Draft routine donor, sponsor, and partner communications.
  • Coordinate development communications with Communications staff as needed.
  • Maintain organized development files, calendars, and documentation.
  • Attend Development Committee or Board meetings as requested.
  • Assist with special projects and additional duties as assigned.
