About The Position

BAE Systems Space & Mission Systems is a mission-driven aerospace and defense company delivering advanced technologies and solutions in support of national security, space, and defense operations. Be part of the excitement and join our BAE Systems SMS Engineering team. This role would be expected to provide comprehensive administrative support to the organization. The selected candidate will provide a full range of staffing coordinator work assignments for our functional and program teams. We are looking for an ambitious Functional Support Specialist who is proactive, highly organized, an effective communicator and comfortable interacting with all levels who will ensure seamless communication, data accuracy, and efficient staffing processes. The Engineering, Science and Analysis (ESA) Strategic Capabilities Unit comprises the technical talent and organizational leadership that enables the successful delivery of high-impact discriminating technologies for our customers’ missions. Requirements

  • Bachelor's degree in related field plus 2 years' related experience.
  • Each higher-level degree, i.e., Master’s Degree or Ph.D., may substitute for two years of experience. Related technical experience may be considered in lieu of education. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.
  • Excellent organizational, time management, and communication skills.
  • Ability to work in a fast-paced environment and prioritize multiple tasks and projects.
  • Ability to learn new software tools.
  • Excellent PowerPoint and Excel skills.
  • Ability to work independently with limited oversight.
  • A security clearance or access with Polygraph is not required to be eligible for this position. However, the applicant must be willing and eligible for submission, depending on program requirements, after an offer is accepted and must be able to maintain the applicable clearance/access.

Nice To Haves

  • Familiarity with program life-cycles and matrix staffing environments
  • 2+ years of experience in project coordination, administration, or a related field.
  • Experience with data integration, data governance, and data quality.
  • Familiarity with SharePoint, workflow automation, and self-service platforms.

Responsibilities

  • Collaborate with program teams to understand staffing needs, timing, and requirements.
  • Serve as a primary point of contact between the functional and program teams.
  • Facilitate the exchange of data, information, and requirements between teams.
  • Ensure accurate and timely data updates, including manual entry and imported data.
  • Facilitate communication among project stakeholders.
  • Maintain accurate and up-to-date records and files.
  • Identify and resolve data discrepancies, errors, or inconsistencies.
  • Deliver training and support to program teams on staffing database usage, best practices, and troubleshooting.
  • Develop and distribute regular updates, status reports, and insights to stakeholders.
  • Coordinate meetings, workshops, and training sessions as needed.
  • Assist in collecting, analyzing, and reporting project data and metrics.
  • Troubleshoot staffing database-related issues, escalating complex problems to senior teams as needed.
  • Analyze and document root causes of issues, recommending process improvements and database configuration changes.
  • Work with teams as needed on trouble shooting, testing and resolution.
  • Identify opportunities to streamline staffing processes, improve data quality, and enhance user experience.
  • Collaborate with teams to implement changes, monitor results, and adjust processes as needed.
  • Perform computer data entry, retrieval, and word processing.
  • Operate other computer software programs and various other types of office equipment.
  • Prepare written documents, communications, and presentation materials for meetings and presentations.
  • Set-up and support meetings; keep minutes as necessary.
  • Ability to adapt to changing priorities and support other functions or projects as needed.
  • Maintain a regular and predictable work schedule.
  • Establish and maintain effective working relationships within the department, the Strategic Business Units, Strategic Capabilities Units and the Company.
  • Interact appropriately with others in order to maintain a positive and productive work environment.
  • Perform other duties as necessary.
