About The Position

The Park Support Specialist position is responsible for assisting with various park operations, including accounting, payroll, and budget preparation. This role involves clerical and administrative tasks to support park management and ensure compliance with Metroparks policies and procedures.

Requirements

  • Associate Degree in a related field; Bachelor's preferred. Applicants with 4 or more years of related service will be given credit toward meeting the minimum educational requirements.
  • Knowledge of accounting principles, budget controls, auditing, cash controls, and professional standards and ethics.
  • Knowledge of administrative and clerical procedures, filing, and record management systems.
  • Ability to use mathematics to solve problems.
  • Ability to communicate using telephone and radio equipment.
  • Ability to establish and maintain positive working relationships with the public, outside agencies, and employees.
  • Ability to work under stressful conditions and varied hours including weekends and holidays, depending upon park demands.
  • Ability to utilize computer systems including word processing, spreadsheet, publishing, and database software applications.
  • Ability to maintain and keep clerical and stock records.
  • Possession of a valid Michigan operator's license and acceptable driving record.

Responsibilities

  • Perform clerical and administrative work in answering phones and providing general assistance in support of park operations.
  • Compose, type, and edit a variety of correspondence, reports, and memoranda requiring judgment as to content, accuracy, and completeness.
  • Maintain inventories and order supplies, materials, and equipment in accordance with Metroparks purchasing policies.
  • Communicate park policies, plans, and procedures to employees and the general public.
  • Assist park management with enforcement of Metroparks policies/procedures and ensure required paperwork is completed accurately and timely.
  • Act as custodian of sensitive Metroparks documents and personnel records, establishing and maintaining filing systems.
  • Serve as the liaison between park employees/management and Human Resources and/or Finance.
  • Assist in the recruiting and hiring process for new seasonal and part-time personnel and coordinate the rehiring process.
  • Conduct reference or background checks on job applicants and volunteers.
  • Distribute, review, and process paperwork for new employees and returning seasonal employees, entering and maintaining employee data in the HR/Payroll ERP system.
  • Prepare and maintain employment records related to employment events, such as hiring, termination, leaves, transfers, or promotions, using HR/Payroll ERP system.
  • Compile and prepare reports and documents pertaining to personnel activities.
  • Review employee time sheets, wage records, and other information to detect and reconcile payroll discrepancies.
  • Prepare bi-weekly payroll for processing and monitor records in the employee time and attendance system.
  • Coordinate workers compensation claims process for park personnel.
  • Assist park manager with annual budget process, including monitoring operational expenditures in compliance with budget constraints.
