About The Position

This position exists to operate the yearly cycle of the book fulfillment center, to ensure continuous operation to help students obtain material to complete their education at Minnesota West Community & Technical College. This position works directly with students, department heads, administration, and support staff in the sale of textbooks, school supplies, uniforms, promotional items, and other necessities. The Fulfillment Center Coordinator works closely with the Textbook Coordinator, other store coordinators, and the Business Services Supervisor.

Requirements

  • Skill in customer service sufficient to provide prompt and accurate information to customers in person, on the phone, and through email and other written or electronic correspondence.
  • Skill in customer service sufficient to respectfully engage with clients, coworkers, and customers, when handling difficult or complex problems and resolving escalated complaints or disputes.
  • Knowledge of computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files.
  • Skill in document and records management sufficient to maintain electronic or paper files for efficient organization and retrieval of information.
  • Ability to use math sufficient to compare deliveries to invoice statements as well as maintain accurate inventories.
  • Ability to move and/or transport items weighing up to 25 pounds on a regular basis.
  • Ability to work in a seated or standing position for extended periods of time.

Nice To Haves

  • Knowledge of all Minnesota West Community and Technical College academic programs.
  • Skill in customer service sufficient to contact suppliers to schedule or expedite deliveries and to resolve shortages, missed or late deliveries, and other concerns.
  • Time management skills to meet bookstore yearly cycle deadlines.
  • Demonstrated experience working in Integrated Student Record System (ISRS) or similar accounting software.
  • Demonstrated experience working in Missouri Book Service (MBS) or similar bookstore software.
  • Ability to work independently as well as an effective member of a team.
  • Ability to communicate with students, parents, faculty and staff in a second language, other than English.

Responsibilities

  • All employees on a daily basis are expected to execute a service commitment to ensure all students are served and have a positive experience. Treat coworkers with courtesy and respect. Interactions with the public is conducted in a professional and responsive manner. Disputes are resolved in a non-combative manner.
  • Fulfillment Center - Organize fulfillment center to ensure the warehouse is stocked and ready for on-line sales each term. Work in fulfillment center with the Textbook Coordinator and other staff to ensure successful processing of all textbook orders, sales, returns, and miscellaneous transactions. Organize fulfillment center in a fashion that is easy to access the necessary textbooks and materials to fill online order each term. Ensure smooth day to day operations during ordering rushes each term. Manage the order fulfilling cycle. Printing orders, filling order, shipping and returns. Order and stock necessary packing/shipping materials. Work closely with textbook coordinator on materials and textbooks in stock, out of stock, and on back orders during book sales rush. Work with the Textbook Coordinator on the shipment schedule of textbook and materials. Follow through with entire staff to ensure shipments are received timely and accurately. Work with entire store staff to ensure student orders are being processed in a timely and accurate manner. Work with students on troubleshooting orders and order problems. Assist in printing PSEO packing slips and matching with student fee statements in preparation for billing. Ensure class schedule and book orders are accurate. Investigate and resolve problems with PSEO order errors in a timely fashion to ensure accurate contract billing.
  • Retail Store Attendant - Serve as a Minnesota West Retail Store Cashier operating the Point of Sale (POS) system to ensure all transactions are completed with accuracy and customers are served efficiently and with courtesy. Receive and verify payments from customers at registers. Process refunds/returns as needed. Open registers and login. Verify drawer contains required funds. Close registers and count back drawers at the end of the business day. Transport deposit and paperwork to Business Services. Maintain safety and integrity of the retail store funds at all times. Follow Bookstore policies and procedures at all times. Work directly with the general merchandise coordinator and convenience supply coordinator to keep store items updated. Communicate campus events to General Merchandise Coordinator to help implement special sales and promotions. Work with Textbook Coordinator to appropriately determine a schedule to adequately staff the store floor and oversee work-study students. Work together with retail store staff to maintain an organized, clean, and inviting retail space.
  • Online kits and supplies. Work directly with instructors and Textbook Coordinator on kits and supplies needed for courses. Order necessary supplies, calculate prices, and prepare kits. Research kit pricing and determine the most cost-effective way to assemble a kit. Prepare and assemble kits for each term; oversee work-study students that assist with kit assembly.
  • Maintain returns. Maintain awareness of time constraints and new editions in returning new and used books from various publishers, maintain a calendar whenever possible. Prepare return paperwork according to each publisher’s return policy; working directly with textbook coordinator and adoptions and the MBS system. Work with PSEO high schools and students to facilitate textbook returns, complete the check in process, and organize information on non-returned and damaged textbooks for billing. Oversee work-study students when packing returns.
  • Inventory. Manage book inventory through the process of orders, checking in merchandise, and returns. Inventory is a year-round requirement that must be reviewed frequently. Work with all store coordinators to provide yearly total inventory counts due at the end of each fiscal year. Inventory includes all aspects of the fulfillment center and retail store at all locations. Assist Textbook Coordinator in preparing financial reports to the business office.
  • Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the organization as a viable business partner. Attend meetings and training sessions as required. Uphold and follow policies and procedures.
