About The Position

The Fuel Operations Manager is responsible for coordinating and managing the maintenance and operational support of retail fueling systems across multiple store locations. This role serves as the central point of coordination between store personnel, field technicians, equipment vendors, and the Fueling Department to ensure all fuel system equipment remains operational, compliant, and properly maintained. The position will oversee dispatching, work order management, technician routing, and preventative maintenance tracking for fuel dispensers, underground storage tank (UST) equipment, POS fueling systems, and related infrastructure. The Fuel Operations Manager will also provide technical support to field technicians and assist store staff with basic fueling system troubleshooting and procedures. This position requires strong knowledge of retail fueling equipment, maintenance coordination, and the ability to manage multiple service calls simultaneously while maintaining a high level of operational efficiency.

Requirements

  • Prior experience working with retail fueling equipment strongly preferred.
  • Strong understanding of fuel dispenser systems, UST monitoring equipment, and related fueling infrastructure.
  • Experience with maintenance management platforms such as ServiceChannel or similar work order systems.
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Ability to manage multiple service requests simultaneously in a fast-paced environment.
  • Strong organizational, communication, and problem-solving skills.
  • Valid driver’s license with a clean driving record.
  • Ability to lift up to 50 pounds when necessary.
  • Willingness to travel when required.
  • Ability to work 40+ hours per week.
  • Participation in a rotating on-call schedule for weekend and after-hours emergency fuel system support.

Nice To Haves

  • Familiarity with Gilbarco, Wayne, and Veeder-Root systems highly desirable.
  • Experience dispatching fuel technicians or coordinating fuel system service operations is a plus.

Responsibilities

  • Dispatch & Technician Coordination · Dispatch and coordinate both in-house and third-party field technicians for service calls related to fuel dispensers, UST equipment, and POS fueling systems.
  • Review incoming maintenance requests and prioritize service calls based on operational impact and urgency.
  • Schedule and route technicians efficiently to minimize travel time and maximize daily service capacity.
  • Work Order & Maintenance Management · Track all open, pending, and in-progress work orders within the company’s maintenance management platform.
  • Ensure maintenance calls are properly documented, updated, and closed out upon completion.
  • Run daily reports to verify that all service requests and preventative maintenance tasks are being addressed in a timely manner.
  • Technician Monitoring & Support · Monitor technician GPS activity and job progress to ensure proper time management and efficient use of resources.
  • Provide remote troubleshooting assistance and operational support to field technicians when needed.
  • Coordinate with technicians to ensure parts and equipment are available prior to dispatch.
  • Fuel Equipment Oversight · Maintain oversight of service and maintenance activities involving: o Fuel dispensers (Gilbarco, Wayne, etc.) o UST monitoring equipment (Veeder-Root and similar systems) o Fuel POS integration and related communication hardware
  • Track preventative maintenance requirements including fuel filter changes and other scheduled service items.
  • Training & Operational Support · Assist in educating store personnel and field maintenance staff on routine fueling system procedures and minor site repairs.
  • Promote consistent service standards and adherence to established fueling maintenance procedures.
  • Work closely with the Fueling Manager to support department initiatives and daily operational needs.
  • Preventative Maintenance Tracking · Monitor preventative maintenance schedules to ensure compliance across all locations.
  • Confirm required service activities, including fuel filter replacements, are completed twice annually.
  • Maintain accurate maintenance records and documentation for all fuel system service activity.
