About The Position

As the Front Office Team Lead , you will be responsible for ensuring the front office operations run smoothly by leading the work of the Front Office Coordinators. You will be a resource for the front office staff by providing insight and guidance on front office processes and procedures. This position is instrumental in ensuring the medical environment allows our providers to deliver quality patient care. This role is full-time (40 hours/week, Monday–Friday) onsite in our Durham office.

Requirements

  • High school diploma or equivalent required.
  • Experience with EMR/EHR or practice management systems.
  • Prior Team Lead or supervisory experience with strong leadership skills.
  • 2+ years of front office, administrative, or clerical experience; healthcare preferred.
  • 1+ year of customer service experience, ideally in a healthcare setting.
  • Proficiency with Microsoft Office, multiline phones, and accurate data entry.
  • Strong communication and interpersonal skills with the ability to build effective relationships.
  • Demonstrated empathy, professionalism, and calm demeanor when supporting patients and families, including those experiencing mental health challenges.
  • Ability to multitask, problem-solve, and exercise sound judgment in a fast-paced environment.
  • Strong organizational skills with attention to detail.
  • Ability to work independently and as part of a team.
  • Commitment to maintaining confidentiality of all personal and health-related information.

Responsibilities

  • Directly oversee single front office operations including the daily processes in the assigned offices, including assisting staff with all front office duties, ensuring adherence to departmental policies and procedures and implementation of emergency procedures, provider schedule management and supporting special projects as needed.
  • Provides feedback to Operations Supervisor on process improvements, employee and/or provider relations.
  • Maintains office harmony and morale in a professional work environment.
  • Leads and mentor employees in assigned offices, including training and assignment delegation.
  • Responsible for managing office expenses with guidance from Operations Supervisor or Regional Operations Manager.
  • In conjunction with the Operations Supervisor, resolves and documents complex patient situations including escalated complaints, patient terminations, and office incident reporting.
  • Responsible for keeping an open line of communication with all providers as well as upper management.
