Supervises and acts as an agent of change for clerical support staff. Increases the efficiency of administrative systems, and provides receptionist and clerical support.

Requirements

  • High school diploma. 3 - 5 years secretarial experience with prior supervisory experience.
  • General orientation at time of hire. Fire/Safety/Infection Control annually. Other programs as mandated by Hospital.
  • Excellent customer service, organization, communication and English composition skills.

Responsibilities

  • Supervision of clerical support staff.
  • Acts as an agent of change for support staff.
  • Provides structure and training to support staff.
  • Completes appropriate performance appraisals on time.
  • Increase the focus of support staff towards customer service.
  • Handles disciplinary issues in accordance with Bristol Hospital Policy. Updates Director as needed.
  • Facilitates smooth transition regarding coverage issues.
  • Increase efficiency of front office systems.
  • Assess the distribution of tasks and responsibilities as currently assigned.
  • Incorporates already existing hospital standards for specific clerical functions.
  • Redistributes tasks and responsibilities as needed.
  • Assists in the maintenance of an up-to-date and accurate medical record system.
  • Assures thoroughness and completeness of the medical record system.
  • Obtains appropriate medical information from appropriate sources and organizes into client chart.
  • Finalizes cases and completes the closing of medical record functions as appropriate.
  • Greets clients, family members, others at the front desk.
  • Answers clients questions or responds to inquiries as requested; providing appropriate information and resolving routine questions/problems concerning services.
  • Refers clients to site supervisor as appropriate.
  • Refers issues to clinical staff as appropriate.
  • Directs clients and others to appropriate clinician or meeting room.
  • Answers telephone; takes messages; relays messages for clinical staff, interns, other administrative staff.
  • Maintains appropriate appointments; adjusting and changing schedules to maximize appointment time.
  • Completes initial screening information as appropriate.
  • Maintains client attendance records.
  • Completes and processes charges for client visits.
  • Collects client co-payment at time of appointment.
  • Types a variety of correspondence, forms, memos, reports.
  • Operates copy machine and other standard office equipment.
  • Provides front desk functions on regular basis.
  • Pulls files, medical records on request.
  • Performs other related duties.
  • Periodically prepares statistical reports on program or departmental activities.
  • Assists supervisor in resolving questions, discrepancies related to billing/charging matters; implementing solutions to address problem areas.
  • Performs or sets up systems to perform a variety of tracking and follow-up functions.
  • Processes requisitions for office supplies as needed.
  • Attends appropriate inservices and meetings.
