As a Front Office Professional, you will serve as the first point of contact for patients and plays a critical role in ensuring smooth clinic operations. This position requires strong customer service skills, attention to detail, and experience working in a medical office setting.

Requirements

  • Education: high school diploma or equivalent required
  • Excellent verbal and written communication skills
  • Strong customer service and interpersonal abilities
  • Knowledge of medical terminology, insurance verification, and appointment scheduling
  • Proficient in EHR systems
  • Ability to multitasks and stay organized in a fast-paced environment
  • Prolonged periods of sitting and computer use
  • Frequent interaction with patients, staff and external contacts
  • Occasional lifting of office supplies up to 20 pounds

Responsibilities

  • Greet patients and visitors promptly and courteously
  • Answer incoming calls and route them to the appropriate staff or department
  • Provide accurate information about clinic services, appointment availability, and provider schedules.
  • Schedule, reschedule and confirm patient appointments in the electronic health record (EHR).
  • Verify and update patient demographics and insurance information each visit
  • Collect and enter referrals and authorizations information as needed
  • Ensure proper scheduling of ENT visits, audiology appointments and allergy testing
  • Prepare daily schedules and review patient charts prior to visits
  • Check patients in and out efficiently, ensuring all required forms are completed and signed
  • Collect co-pays, outstanding balances, and provide receipts
  • Schedule follow-up appointments

  • Verify insurance eligibility and benefits prior to appointments
  • Obtain authorizations and referrals when required
  • Maintain cleanliness and organization of the reception and waiting areas
  • Assist with scanning and filing documents in the HER
  • Support other team members as needed to maintain efficient clinic operations
