SUMMARY The Operations Associate I will play a crucial role in supporting the donor center team by managing orders from initiation to completion. Key responsibilities include scheduling courier shipments, triaging orders, coordinating donor schedules, completing documentation packages, and preparing products for shipment. This position will ensure compliance with Environmental Health and Safety (EHS) policies, State Departments of Health, Good Documentation Practices (GDP), Good Laboratory Practice (GLP), Good Manufacturing Practices (GMP), Good Clinical Practices (GCP), Good Laboratory Practice (GLP), Standard Operating Procedures (SOPs), EMEA and FDA Guidelines, general State and Country Regulations such as but not limited to (CLIA, CAP, USP, ISO 9001, USDA regulations, HTA license, DEA and State Controlled Substance programs) where site appropriate.

Requirements

  • High School Diploma or equivalent, required.
  • Proficiency in a variety of computer software programs including MS Office
  • Ability to work in a team laboratory environment with knowledge or familiarity with scientific terminology.
  • Ability to communicate clearly with colleagues, management, and suppliers.
  • Ability to work under pressure.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

Responsibilities

  • Follow Standard Operating Procedures (SOP), IRB Protocols, and regulatory requirements.
  • Complete all process and procedure training as required.
  • Create a welcoming environment for donors to increase donor retention and participate in donor recruitment, as needed.
  • Consent donors and perform pre-donation donor screening qualification processes according to SOPs, as needed.
  • Schedule donors according to collection requirements and site availability.
  • Maintain confidentiality with respect to personnel, donors, and site records utilized during all duties.
  • Review donor record files for accuracy and completeness and ensure documentation is performed according to SOPs.
  • Demonstrates decision making skills and works independently to solve issues.
  • Provide email notifications to all customers receiving shipments.
  • Coordinate courier pickup times and oversee communication of shipment notifications to customers.
  • Communicate order issues to internal customer service teams.
  • Monitor supply levels and enter purchase and receipt requests, as necessary.
  • Continually improve communication between different areas to reduce errors and increase efficiency.
