About The Position

The Patient Services Representative is responsible for providing excellent customer service in a medical office setting. This role involves registering patients, answering phones, preparing the office for the day, scheduling appointments, collecting payments, and posting charges. The representative will balance all transactions daily according to Allergy Partners policy and procedure, schedule follow-up appointments, and facilitate referral requests and test scheduling.

Requirements

  • High school diploma required.
  • Minimum of two years of experience in a medical office or customer service position.
  • Proven success in asking for payment, making change, and balancing a cash drawer.
  • Working knowledge of basic managed care terminology and practices.
  • Familiarity with scheduling and rearranging appointments effectively.
  • Comfortable using email, word processing, and Internet applications.
  • Working knowledge of practice management and electronic health record software; GE Centricity is a plus.
  • Proven experience handling challenging patients/customers and dealing with conflict in stressful situations.
  • Ability to perform multiple and diverse tasks simultaneously with accuracy and efficiency.
  • Neat, professional appearance.
  • Strong written and verbal communication skills.

Nice To Haves

  • Bi-lingual is a plus, not required.

Responsibilities

  • Answer the telephone professionally and pleasantly, efficiently screening and directing calls.
  • Screen visitors and respond to routine requests for information from patients and vendors.
  • Maintain office equipment and supplies in the front office areas.
  • Ensure all faxes are cleared off the machine and distributed throughout the day.
  • Open, date stamp, and deliver mail daily as assigned.
  • Assemble files and maintain the integrity of patient charts.
  • Run reports and prepare patient encounters for the next day.
  • Respond to medical records requests as appropriate.
  • Keep the patient reception area neat and clean at all times.
  • Schedule patient appointments and explain necessary information to patients.
  • Verify demographic and insurance information for new and established patients.
  • Check out patients, collect payments, and provide receipts.
  • Ensure proper posting of charges into the practice management system.
  • Balance daily over-the-counter transactions and reconcile encounters with payment transactions.
  • Close the office each day according to protocol.
  • Determine uncollectible balances and refer accounts to the Practice Manager.
  • Assist in other front office duties as requested by the Practice Manager.
  • Facilitate physician requests throughout the day.
  • Maintain patient confidentiality and comply with HIPAA guidelines.
  • Assist clinical staff in contacting emergency services and participate in anaphylaxis drills.
  • Attend all regular staff meetings.
  • Complete all assigned AP training within designated timeframes.
  • Comply with Allergy Partners policies and report incidents of policy violations.
