Requirements

  • Minimum of 2 years of administrative, office operations, communications, or front desk experience.
  • High school diploma or GED required; associate degree preferred.
  • Proficient in Microsoft Word, Excel, Outlook.
  • Strong written and verbal communication skills.
  • Highly organized with strong attention to detail.
  • Ability to manage sensitive and confidential information professionally.
  • Comfortable working with team members at all levels of the organization.
  • 100% in-office role with frequent in-person interaction.
  • Regular phone use, visitor engagement, and multi-department support.
  • Ability to lift and carry items up to 50 lbs as needed.
  • Extended periods of sitting, standing, and walking during administrative and event activities.

Nice To Haves

  • Experience with Canva, Adobe Creative Suite, WordPress, social media platforms, and video editing preferred.
  • Bilingual in English and Spanish preferred.

Responsibilities

  • Support company social media platforms, content posting, and engagement.
  • Manage calendars
  • Assist with creating posts, graphics, video production, and promotional materials using Adobe, Canva, and related tools.
  • Manage updates to the company website, including content, events, forms, and SEO fundamentals.
  • Assist with newsletters, interoffice communications, and digital announcements.
  • Support QR codes, Linktree updates, and online content distribution.
  • Coordinate promotional items, giveaways, corporate gifts, and employee recognition campaigns.
  • Support collaboration with outside marketing and industry partners.
  • Greet and assist all visitors professionally while ensuring sign-in and security protocols are followed.
  • Answer and route all inbound calls to appropriate departments.
  • Maintain a clean, welcoming lobby and common areas.
  • Manage office, kitchen, and supply inventory.
  • Process incoming and outgoing mail, packages, scanning, copying, and correspondence support.
  • Support meeting logistics, internal events, and conference room setup.
  • Coordinate furniture orders, décor updates, signage placement, and office improvements.
  • Provide administrative support to executives and leadership teams.
  • Schedule meetings, manage calendars, and coordinate executive travel and itineraries.
  • Maintain confidentiality and accuracy of sensitive documents.
  • Track memberships, subscriptions, and recurring administrative expenses.
  • Review and code credit card statements and track balances related to events and travel.
  • Maintain company master files, physical records, and key documentation.
  • Support invoice research and administrative coordination with accounting as needed.
  • Assist with advisory board and affiliate communications.
  • Help coordinate customer outings, industry events, and registrations.
  • Assist and coordinate company location renovations (vendors, ordering furniture, scheduling etc.)
  • Manage maintenance lists and coordinate fixing vs. replacement.
  • Assist with planning and execution of company events such as retreats, picnics, holidays, and internal culture initiatives.
  • Coordinate corporate giveaways, appreciation gifts, and milestone recognition.
  • Support participation in community events and industry functions.
  • Manage ticket distribution, event tracking, and related communications.
