About The Position

Capitol Meridian Partners, a Washington, DC–based private equity investment firm, is seeking a highly organized and proactive Front Office & Executive Operations Coordinator to support both senior leadership and junior investment professionals. This role is based at the firm’s front office and serves as the first point of contact for clients, partners, and visitors, ensuring a polished, welcoming experience while also providing critical administrative and operational support across the organization.

Requirements

  • 3+ years of experience in an executive assistant, office coordinator, or similar administrative role (experience in financial services a plus)
  • Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel)
  • Familiarity with travel and expense systems (e.g., Neo1 or comparable platforms)
  • Strong communication, organizational, and time-management skills
  • Ability to manage confidential information with discretion and professionalism
  • Self-starter with a proactive and adaptable approach to problem-solving

Responsibilities

  • Provide comprehensive support to the Manager of Office Operations and senior executives, including calendar management, travel coordination, and expense reporting.
  • Manage and coordinate complex domestic and international travel itineraries (flights, hotels, ground transportation, dinner reservations, client and colleague meetings), including last-minute changes and troubleshooting.
  • Prepare, review, and format presentation materials using PowerPoint, Word, and Excel.
  • Assist with scheduling and organizing internal and external meetings, conference calls, and firm events.
  • Generate and submit expense reports
  • Maintain a smooth and efficient office environment by ensuring day-to-day operations are running effectively and in compliance with internal policies.
  • Manage incoming/outgoing mail, packages, and office communications.
  • Maintain office and kitchen supply inventory; order and track supplies using vendors such as Amazon, Staples, Instacart, and GBC.
  • Coordinate print jobs and professionally bind presentation materials as needed.
  • Partner with the Manager of Office Operations on ongoing projects and strategic initiatives; attend weekly check-ins to align on priorities.
  • Participate in quarterly building management meetings and report key takeaways to the team.
  • Conduct onsite venue visits alongside the Manager of Office Operations for corporate and team-building events.
  • Act as a liaison with our external IT support provider (Options IT) to troubleshoot and resolve technical issues for team members.
