About The Position

The Front Office Coordinator at OpenRoad Allard Collision LLC is a vital role that serves as the first point of contact for customers visiting the facility. This position requires a friendly and professional demeanor, as the coordinator will greet and assist customers in a timely manner. The role involves answering telephones, directing calls, taking messages, and responding to emails, ensuring that all communications are handled efficiently and effectively. The coordinator will also be responsible for scheduling appointments and facilitating rental car shuttle pickups and drop-offs, which are essential services for customers in need of transportation while their vehicles are being serviced. In addition to customer service duties, the Front Office Coordinator will handle various administrative tasks, including receiving and issuing receipts for check and credit card payments. Maintaining cleanliness in work areas and customer waiting areas is also a key responsibility, as it contributes to a positive customer experience. The coordinator will assist the accounting department with billing, invoicing, and accounts payable and receivable functions, providing daily backup support to ensure smooth operations. The role requires the collection, sorting, distribution, and preparation of mail, messages, or courier deliveries, as well as effective communication with customers, employees, and other individuals to answer questions and disseminate information. Inventory management of office supplies is another important task, with the coordinator expected to order supplies weekly. The position may also involve delivering messages internally and running errands as needed, showcasing the need for flexibility and adaptability in daily operations. The Front Office Coordinator will work with multiple software systems daily, depending on the tasks at hand, and will assist managers with various jobs as needed, making this a dynamic and engaging role.
