About The Position

Connecticut Orthopaedic Surgery Center (COSC) is recruiting a full-time Front Office Coordinator to join our growing team. About Us: COSC is an Ambulatory Surgery Center (ASC) that performs minimally invasive muscular-skeletal surgical procedures for patients. Our Center was formed in 2018 and opened for first cases in October 2019. It represents a unique venture, bringing together, as co-owners, one of the largest orthopedic groups in Connecticut, other long-established community providers, a major hospital system, and the leading ASC management company in the state. Key features include: Same-day total joint replacements, interventional procedures, and a full range of orthopedic surgeries. COSC has four (4) operating rooms/an integrated procedure room within the OR. Position Summary: The Front Office Coordinator position interfaces with patients and families, physicians and staff, admits patients and processes their paperwork, and updates patient demographics/information in system. A key component of this job is coordination with patients in person, via phone and other electronic media prior to the day of service, the collection of monies due on day of surgery, documenting these transactions in the billing system, and adhering to written policy regarding the handling of funds for procedures performed at the center. Works closely with the Administrator, off-site billing personnel, and for matters involving case scheduling with the Director of Nursing. Answer and direct incoming phone calls.

Requirements

  • High school graduate or equivalent.
  • Previous experience in a clinical or hospital setting strongly preferred.
  • Must be organized, efficient and a quick-learner.
  • Have experience and/or strong desire to perform on-site collections of patient co-insurance, co-pays, and deductibles.
  • Positive attitude, eagerness to complete difficult tasks, and helpful demeanor.
  • Must have the skills necessary to operate office equipment that are required to fulfill job duties (i.e. computer experience, Microsoft Office Suite, etc.).
  • Must have excellent communication skills.
  • Must be able to be flexible with hours to be worked if needed to support the needs of the Center.

Nice To Haves

  • Experience with the following preferred: medical terminology, Electronic Medical Records, and patients.
  • Bilingual preferred.

Responsibilities

  • Greet surgical patients and their family members on the day of surgery, confirm all personal and insurance information with the patient.
  • Enter demographic information in the computer software system.
  • Answer incoming phone calls and directs calls to the appropriate individuals.
  • Creates and validates the surgical record/chart, and identification wristband.
  • Manages daily surgical schedule with Director of Nursing/Charge Nurses to assure proper order of cases.
  • Enter future surgical cases in the computer system sent in via fax by the physician’s office.
  • Coordinate with patients via phone and other electronic media prior to the day of service, the collection of monies due on day of surgery, and documenting these transactions in the billing system.
  • Works closely with the Business Office Manager and Administrator on medical staff credentialing packages.
  • Monitors visitor entry including patient visitors and vendors, etc.
  • Supports the day to day operations at the Center with miscellaneous paperwork scanning and other office duties.
