Your Day-to-Day Impact as Front Office Coordinator Reporting directly to the Office Manager, you'll be the heartbeat of our clinic's front office, delivering exceptional experiences while keeping operations running smoothly. Key responsibilities include: Expertly managing a multi-line phone system to answer and direct calls with warmth and efficiency. Making thoughtful follow-up calls to patients celebrating their progress, addressing concerns, and keeping them motivated on their journey. Verifying insurance details and smoothly handling insurance processes to reduce patient stress. Creating a welcoming, friendly environment by greeting patients with genuine enthusiasm and upholding top-tier customer service standards. Accurately and securely processing accounts receivable transactions. Keeping a close eye on inventory for clinical and office supplies to ensure everything runs seamlessly. Training new team members on daily procedures when asked by the Office Manager or physician. Supporting clinic marketing initiatives to help drive growth and success.

Requirements

  • Motivational counseling or advising abilities to inspire patients, plus strong multitasking, critical thinking, and top-notch interpersonal skills.
  • Outstanding oral and written skills to connect effectively with patients and team members.
  • Ability to maintain strict confidentiality, collaborate seamlessly, and thrive in a structured corporate environment.
  • High school diploma or GED required.

Nice To Haves

  • Bilingual in Spanish (preferred, but not required).
  • Associate's or bachelor's degree preferred (a big plus!).
  • Medical receptionist experience preferred.
  • Familiarity with EMR systems preferred.
