About The Position

The Office Coordinator supports the successful enrollment and onboarding of students into the school program. This position ensures that all admission guidelines are followed, required documentation is obtained, records are accurately maintained, and families, districts, and students experience a supportive and efficient enrollment process. The Office Coordinator also assists with attendance monitoring, transportation coordination, and general administrative support to ensure smooth school operations.

Requirements

  • High School Diploma/GED Required
  • Minimum of 3 years of experience working at a school/social service organization
  • Valid California drivers license and reliable personal transportation for conducting work assignments (mileage reimbursement)
  • Proficient in Google Workspace, Microsoft Office Suite, and other office-related software
  • General administrative and clerical abilities
  • Strong written and verbal communication skills
  • Strong decision-making and problem-solving skills
  • Able to work independently and as a self-starter with minimal supervision
  • Highly organized and detail-oriented
  • Strong interpersonal skills, with the ability to demonstrate professionalism, patience, empathy, and courtesy

Responsibilities

  • Make sure all enrollment (new, discharge, and updated info) paperwork for new students is completed and filed accurately.
  • Obtain and track student records, including but not limited to transcripts, past IEPs, behavior reports, etc.
  • Review and reinforce school policies and procedures with incoming and current students.
  • Coordinate with the School Admin to create and organize daily pick-up/drop-off for student transportation services.
  • Partner with facilities to ensure vehicles are properly maintained, and any concerns are promptly addressed.
  • Maintain student daily attendance records.
  • Schedule and coordinate State Testing with districts, including any necessary teacher training.
  • Create/update and maintain student cumulative files.
  • Input and update all pertinent/assigned information to Praxi-Power, including 1:1 student billing.
  • Develop close working relationships with residential team members to provide a seamless service to residential students.
  • Participate in strategies that enhance the profile of McKinley Children's Center/Canyon View School within the local community, schools, and school districts.
  • Attend and contribute to various meetings as required (Open House and Back-to-School Nights, promotions, graduations, athletic events, etc.).
  • Strengthen positive relationships with district partners and community stakeholders.
  • Maintain and file all Master Contracts and Individual Service Agreements (ISAs).
  • Retrieve and distribute breakfast to classrooms.
  • Provide general front office support, including answering phones, greeting, and checking in visitors, etc.
  • All other duties as assigned.
