About The Position

Responsible for delivering exceptional customer service, ensuring efficient and professional front office operations, and assisting providers with patient care. This hybrid role coordinates patient flow before, during, and after office visits and procedures, manages front‑office administrative tasks, and performs clinical responsibilities in support of providers and clinic operations.

Requirements

  • High School Diploma /GED Certificate
  • Graduation from an accredited Medical Assistant training program or Licensed Practical Nurse (LPN) license preferred.
  • Current BLS Certification
  • Medical office experience preferred.
  • Minimum one year of patient registration or healthcare office experience preferred.
  • Prior Medical Assistant experience preferred.
  • Requires knowledge of insurance rules, medical terminology, and EMR systems.
  • Knowledge of the healthcare field and medical terminology.
  • Knowledge of EMR charting and proficient documentation skills.
  • Knowledge of insurance verification, eligibility, and referral processes.
  • Knowledge of HIPAA, universal precautions, and infection‑control guidelines.
  • Knowledge of pain management/medical/surgical best practices.
  • Knowledge of medical office policies, procedures, and workflows.
  • Strong customer service skills.
  • Effective communication with physicians, clinical staff, and the public.
  • Proficiency in clinical tasks: vitals, EKG (3‑ & 12‑lead), specimen collection (urine, glucose), and operation of clinical equipment.
  • Skilled in computer use, data entry, and general office equipment.
  • Strong interpersonal and relationship‑building skills with internal/external customers.
  • Ability to interact professionally with management, providers, and teammates at all levels.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to perform multiple tasks simultaneously in a fast‑paced environment.
  • Ability to work under stress and maintain professionalism.
  • Ability to remain self‑directed while managing administrative and clinical tasks.

Responsibilities

  • Promptly greets and acknowledges patients upon arrival.
  • Updates appointment status in EMR and alerts providers/MA staff.
  • Instructs patients in completing medical history and information forms; reviews for accuracy and updates demographic, insurance, and consent documentation.
  • Obtains accurate and complete demographic and insurance information; ensures all required documents, authorizations, and referrals are attached for date of service.
  • Identifies and collects co‑payments, co‑insurances, and past‑due balances.
  • Explains financial requirements and addresses billing/insurance questions; refers complex issues to billing department.
  • Performs insurance verification and benefit interpretation; notifies patients and providers regarding coverage issues.
  • Scans updated patient documentation (ID, insurance cards, referrals, forms) into EMR.
  • Schedules follow‑up appointments and requests authorizations/referrals as needed.
  • Communicates delays to patients and maintains professional lobby flow.
  • Maintains an accurate, secure cash drawer and performs daily balancing/closing batches.
  • Maintains patient confidentiality and complies with HIPAA at all times.
  • Facilitates communication between patients and providers.
  • Collects, documents, and communicates pertinent clinical information to providers.
  • Rooms patients and prepares them for provider evaluation, including vitals, intake review, medication verification, and imaging retrieval.
  • Performs clinical tasks: urine drug screens, diagnostic imaging preparation, procedure setup, injection prep, accurate EMR data entry.
  • Maintains exam room cleanliness and restocking; monitors biohazard and sharps disposal.
  • Assists providers with prescription preparation, form completion, and follow‑up clinical documentation.
  • Retrieves and responds to voicemails within 48 business hours; documents actions in EMR.
  • Prepares electronic charts before date of service and ensures testing results are available.
  • Scans clinical documents into EMR and prints daily provider schedules.
  • Provides patient education as directed by provider.
  • Manages EMR desktop tasks for assigned providers.
  • Maintains universal precautions and infection‑control standards.
  • Assists procedural team during in-office procedures, including sterile technique monitoring and instrument handling.
  • Responsible for sterilization of clinical equipment and supplies.
  • Demonstrates competency in emergency response and age‑specific patient care needs.
  • Maintains scheduling/job assignment flexibility to meet patient‑care needs.
