About The Position

The position involves greeting patients and clinic visitors both in person and over the phone in a friendly manner. The role includes directing visitors to the appropriate locations and providing general information about the office and front desk activities. Responsibilities encompass receptionist duties, check-in and check-out processes, and referral coordination.

Requirements

  • High School Graduate
  • Experience in typing and data entry
  • Basic arithmetic skills
  • One year experience in a medical office

Nice To Haves

  • Concierge Medical experience is preferred
  • Basic medical terminology

Responsibilities

  • Efficiently answer phones with proper etiquette and direct calls to the appropriate area.
  • Document conversations in patients' medical records.
  • Update patient information in the computer system.
  • Schedule new patients, verify insurance, and fill out necessary forms to set up new patient files, including preparing file labels.
  • Verify medical insurance for all appointments at least one day prior to service and for walk-in patients.
  • Prepare super bills when patients arrive for appointments and review physician notes to ensure all information is indicated.
  • Collect and update insurance information and personal data in patients' files.
  • Collect and post fees in the computer system and manual payment list, prepare and balance daily financial registers, and submit all forms and fees to the financial department.
  • Maintain and report statistics as required, such as office visit recaps and insurance tracking.
  • Maintain forms and office supplies required for front desk activities.
  • Monitor patient wait times and ensure physicians are on schedule, prioritizing appointments versus walk-ins.
  • Assist in pulling charts for walk-in patients.
  • Provide patients with proper documentation for quick referrals using the preferred network.
  • Ensure patients leave with all necessary forms and paperwork, such as receipts of visits, lab requisitions, and prescriptions (if not e-prescribed).
  • Schedule office visits, follow-up appointments after patients see their physician, and appointments for studies, while calling and confirming the next day's appointments.
  • Follow up on missed appointments and explain the need and value of returning for follow-up care to the patient.
  • Detail all follow-up appointments in the note section of the scheduling system, including lab results.
  • Respect and maintain the privacy and dignity of patients to assure client confidentiality at all times.
  • Ensure there is always a presence at the front desk to check on or check out patients.
