About The Position

The front office administrator is responsible for answering incoming calls, directing calls to appropriate employees, greeting visitors/guests, distributing mail correspondence, ordering supplies as well as additional administrative duties as assigned.

Requirements

  • Must be customer service driven and possess excellent phone etiquette.
  • Strong verbal communication and interpersonal skills with the ability to multi-task in a fast-paced environment.
  • Must be computer literate with knowledge of MS Office (Word, Excel, Outlook).
  • Attention to detail and some multi-phone line experience.
  • Must be able to lift/move packages and materials weighing a minimum of 25 lbs.
  • A high school diploma or GED with a minimum of 1-year experience as a receptionist or front office administration.

Responsibilities

  • Open and close reception area (locking doors, turning off lights, television and computers)
  • Professionally answer and direct all incoming calls within 2-3 rings and provide corporate information, as needed.
  • Take and retrieve messages for various employees as requested
  • Envoy Administration – Visitor logging system
  • Check and update visitor calendar on a daily basis
  • Update “Welcome Screen” as needed for VIP visits weekly
  • Greet and direct visitors and guests in a professional, friendly, hospitable manner
  • Process applications in the recruiting log and send out thank you letters and emails
  • Perform clerical duties as needed for various departments, including senior executives (generating labels, mailings, samples, etc.)
  • Assist Human Resources with applications
  • Set up meetings as needed with drinks, snacks, etc.
  • Communicate effectively with other departments within the organization and function within a team environment
  • Own and update the VIP log weekly and distribute visitors log to executive management weekly
  • Create bi-weekly new hire packets for NEO
  • Prepare and distribute monthly birthday cards
  • Manage HR corporate expense reports ensuring timely and accurate submission to account department
  • Order baby blankets and flowers for employees, as needed
  • Maintain the company directory on the Nutranet with current personnel along with removal of personnel, as needed
  • Maintain and update the phone extension directory and email to appropriate individuals, as needed
  • Send employee update email to executive management and corporate chaplain, as needed
  • Stock lobby refrigerator with drinks and fresh snacks for guests and interviews
  • Order office supplies for HR, as needed
  • Manage and maintain the front office temporary badge and prepare monthly audit for security team
  • Manage and update the evacuation log
  • Perform other assigned duties as may be required in meeting company objectives
