Requirements

  • High school diploma or equivalent, required.
  • Highly organized and self-directed, with strong follow-through and attention to detail.
  • Strong interpersonal and communication skills to build trust, connect with patients, and foster collaboration across teams in person, by phone, and in writing.
  • Ability to handle sensitive patient information with discretion and full compliance with HIPAA and regulatory requirements.
  • Proficiency in EHR/EMR systems; comfortable learning new software and scheduling tools.
  • A team player who adapts quickly in a fast-paced clinic setting.

Nice To Haves

  • Two or more years of medical office administration, healthcare coordination, or patient scheduling in cardiology, outpatient care, or specialty medical services preferred.
  • Strong knowledge of medical office workflows, insurance processes, referral management, and proficiency with EHR/EMR systems.

Responsibilities

  • Welcome patients and visitors, creating a professional and caring first impression.
  • Manage scheduling and rescheduling of patient appointments, including reminders to minimize no-shows and optimize clinic flow.
  • Oversee patient check-in and check-out processes to ensure a seamless experience.
  • Maintain accurate records, files, and documentation, including referral coordination and updates to EHR/EMR systems.
  • Support billing and revenue cycle processes by ensuring accurate patient and insurance information for claims.
  • Order and organize supplies, and coordinate with facility management to address operational or maintenance needs.
  • Support the Clinic Director and clinical team with administrative tasks and operational reporting.
  • Coordinate staff schedules, attendance tracking, and communication between team members.
  • Assist with patient onboarding, ensuring documentation and authorizations are complete before treatment begins.
  • Contribute to a collaborative, professional environment where patients and staff feel supported.
