About The Position

The Front Of House Manager is responsible for establishing a warm, welcoming and professional atmosphere for all clients, executives and staff members at all times. Manages and maintains all public areas, conference rooms, focus rooms, catering etc. The ambassador will be the point of contact for the workplace team regarding rooms setups and public areas and oversee a small team.

Requirements

  • Coordinate schedules to ensure the desk is appropriately staffed
  • Oversee a small team of receptionists
  • A genuine sense of hospitality, with a commitment to delivering the Rapport business standards.
  • High School Diploma or GED required.
  • Computer proficiency with the ability to utilize MS Word, Outlook, and Excel.
  • Demonstrated talent for interacting with a wide variety of people; ability to effectively organize and coordinate multiple priorities; ability to learn and develop new skills; ability to problem solve.
  • Excellent interpersonal, administrative, telephone and other communications skills.
  • Excellent listening and oral communication skills.
  • Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details.
  • Discreet, ethical and committed to maintaining a high degree of confidentiality.
  • A consistently professional approach, with a mindset to take ownership and responsibility within and outside one’s job domain.
  • Licenses and Special Requirements – Food safety certification
  • Required to stand for long periods and walk, climb stairs, balance, stoop, kneel, crouch, bend, stretch and twist or reach.
  • Constantly communicates and receives verbal communication with other employees in fast-paced environment.
  • Physical presence at the job site is essential to perform job duties.

Responsibilities

  • Previously managed a team and served as a leader in the team.
  • Provide high-level internal and external customer support
  • Greet employees and visitors, welcome visitors with a smile while maintaining eye contact through the entire interaction.
  • Meet, greet and escort all VIP guests
  • Ensure the guest was delighted and satisfied during the arrival, throughout the stay and during a fond farewell.
  • Ensure daily optimal workspace occupancy and assist in making day of space reservations using an online tool
  • Assist with guest services and support, including directing guests to the appropriate resource, wayfinding, checking guest coats and luggage, etc
  • Handle daily signage requirements for guest wayfinding
  • Maintain building visitor list by managing the access badge process for employees and visitors. Follow all security procedures and ensure visitors have visitor badges and name tags
  • Provide primary support to the reception desk and coverage when needed.
  • Subject matter expert on property management tools and room booking tools with administrator responsibilities
  • Organize, restock and inventory supplies as needed for the office, pantry and conference rooms.
  • Maintain and report all maintenance related issues
  • Ensure the cleanliness of all office space to include open work areas, conference rooms, lobby, and kitchen. Conduct quality assurance checks
  • Speak knowledgeably about the office, building, surrounding areas, transportation, local restaurants and other points of interest
  • Carry out instructions for security, fire, health and safety guidelines
  • Provide first-line support for basic office technology
  • Interface with vendors (catering, AV, etc.) to provide seamless customer support
  • Communicate effectively with all departments, displaying accuracy and attention to detail both in verbal and written communications.
  • Maintain a strong awareness of business activity and communicate all updates with team members
  • Assists with unit opening and /or closing procedures as needed.
  • Cross training in other departments, including but not limited to facilities, conference setup, and catering to support as back up
  • Observe floor operations, user behaviors and suggest strategic changes to continue enhancing the experience on the floor.
  • Guide and coach all ambassadors to deliver memorable guest experience.
  • Other job duties and responsibilities may be added or removed as business demand dictates or as assigned by client.
