Requirements

  • High school diploma and two years of supervisory experience.
  • Working knowledge of administrative practices in a community clinic, doctors office, or similar health care facility typically obtained through several years of experience in a similar setting.
  • Demonstrated supervisory skills sufficient to manage up to 10 employees in a medical office, clinic, or similar health care facility and manage support functions to achieve the delivery of efficient patient care services.
  • The flexibility to deal effectively with changes in work schedules and sites.
  • General computer skills in Microsoft Office programs (Word, Excel, etc.) and patient medical record system.

Responsibilities

  • Supervises the maintenance of an operating environment that assures effective, efficient, safe operation of the Clinic that is responsive to the patients and clinicians needs.
  • Monitor update staff time schedules to ensure the appropriate availability of staff for the delivery of effective and efficient patient care services.
  • Coordinates the purchase and delivery of medical, office supplies, and equipment with the FLM to ensure the availability of adequate equipment and supplies.
  • Responsible for maintaining efficient patient flow and informs Clinic Operations Manager of issues affecting the ability to deliver timely patient care within industry standards.
  • Monitors appointment schedules to insure they reflect the ability to provide patient care services in a timely manner.
  • Assist the COM to evaluate patient registration and discharge processes to ensure compliance with established procedures.
  • Assist the COM to supervise support functions in compliance with regulatory agencies, contractual obligations and funding sources.
  • Keeps employees informed of changes which may affect the work environment.
  • Assist the COM to communicate effectively with all levels throughout the clinic by consistently utilizing and facilitating effective strategies to encourage collaborative problem solving and decision-making.
  • Assist the COM to troubleshoot difficult problems or situations and collaborates with COM to resolve.
  • Supervises support staff to ensure they are knowledgeable about their duties, are provided the necessary tools to perform their jobs and receive appropriate training and guidance as needed.
  • Ensures appropriate staffing levels; anticipates changes in staffing needs and coordinates staff schedules when shortages exist.
  • Assign workloads, develops priorities, and establishes work schedules and policies necessary to ensure timely and accurate completion of tasks.
  • Participates as a member of the sites supervisory team; promotes the clinics goals and philosophies to staff; participates in committees; and actively cooperates with others in support of the clinics goals.
