About The Position

Keep the clinic running, keep the leads moving. Join our growing team at Body Moksha Physical Therapy in a dual-role that blends front desk operations with lead follow-up and CRM management. We’re looking for a tech-savvy, detail-oriented person who can handle phones, scheduling, and spreadsheets — all while keeping patient experience smooth and stress-free. This role does not involve selling or closing. You’ll be supporting our Sales team by keeping leads organized, followed up, and moving smoothly through the process.

Requirements

  • Comfortable on the phone and with scheduling software
  • Tech Savvy - familiar with spreadsheets, CRMs, or electronic medical records
  • Detail-focused — you don’t need to be told twice to follow up or complete a task
  • 1+ year of admin, front desk, or healthcare office experience
  • Able to work independently and also take direction when needed
  • Excited to work in a supportive, small team where your work has direct impact
  • Comfortable making follow-up calls and confirming appointments
  • Detail-focused and reliable with data entry and task completion
  • Experienced in admin, front desk, or healthcare office settings (1+ year)
  • Interested in supporting a small, collaborative team where your work matters

Responsibilities

  • Follow up on incomplete intake forms
  • Greet, check in, and assist patients at the front desk
  • Answer phones and schedule, reschedule, or confirm appointments
  • Track patient sessions/packages and log data into our EHR (Jane App)
  • Print weekly schedules and prep materials for workshops
  • Restock supplies weekly and help manage inventory
  • Support the Owner and Ops Manager with general administrative tasks
  • Call patients to confirm scheduled evaluations
  • Help rebook cancelled appointments when needed
  • Enter all new leads into the lead tracking system with complete and accurate information
  • Keep the CRM organized so leads move into the correct email/text sequences
  • Flag leads that need Sales team follow-up and close the loop once evals are booked
