About The Position

The Front Desk Representative at Florida Orthopaedic Institute plays a crucial role in ensuring a welcoming and efficient environment for patients. This position involves managing patient check-ins, verifying insurance information, and facilitating communication between patients and the clinic staff. The representative is responsible for maintaining the front desk area and ensuring that all necessary preparations are made for patient visits.

Requirements

  • High School Diploma.
  • 2 years experience in a medical environment.

Responsibilities

  • Ensure office/zone is prepared to receive patients by turning on lights, unlocking front doors, and placing appropriate sign-in sheets on the front desk counter.
  • Greet patients upon arrival, introducing yourself and welcoming new patients to the practice.
  • Inform patients of any delays in clinic/wait times.
  • Provide patients with the intake tablet and instructions on how to use it, assisting those having difficulty.
  • Ensure patients have completed all required intake information.
  • Obtain and verify patient's photo identification and insurance card(s) against the information in the patient's Athena account.
  • Scan new insurance cards and email the Benefit Department with any changes.
  • Verify that a valid authorization is present in the patient's account in Athena.
  • Ensure the patient's insurance benefits have been verified within the past 90 days.
  • Collect all co-pays, deductibles, co-insurance, and outstanding patient balances.
  • Inform patients of the credit card on file process and obtain signed agreements.
  • Begin the check-in process in Athena.
  • Print financial agreements or advanced beneficiary notices and obtain the patient's signature.
  • Upload any outside patient's imaging CDs into the Medview PAC's system.
  • Prepare all paperwork for the next day's clinic.
  • Schedule patients' follow-up appointments.
  • Complete end-of-day batches and process any required disability form payments.
  • Scan daily batches in the Z drive and forward any documents for scanning to Patient Records.
  • Inform Zone Lead or Supervisor of any problems or issues to ensure they are quickly resolved.
  • Perform all other duties as assigned.
