About The Position

At Urban Medspa & Weight Loss Center, we combine advanced skincare and weight loss treatments with a welcoming, inclusive approach. Our mission is to help every client look and feel their best - through personalized care, expertise, and genuine hospitality. We’re seeking a friendly, professional, and highly organized Front Desk / Guest Services associate to be the welcoming face of our medspa. This role also includes discussing services, packages, and products with patients, with opportunities to earn commission or bonuses through upselling and cross-selling. If you have strong customer service skills, enjoy helping people, and thrive in a fast-paced environment, we’d love to meet you. You’ll handle patient check-ins, scheduling, phone calls, and administrative support , helping to ensure a warm, seamless guest experience from check-in to check-out.

Requirements

  • Minimum 2 years’ experience in customer service, administrative, or front desk/reception roles (medical, dental, spa, or similar preferred).
  • High school diploma or equivalent required.
  • Computer proficiency , especially with Microsoft Word, Excel, and scheduling systems.
  • Strong communication, listening, and organizational skills.
  • Professional and empathetic demeanor when interacting with patients and colleagues.
  • Must be eligible to work in the United States and able to work on-site (not remote).
  • Comfortable with sales conversations and recommending services or products.

Responsibilities

  • Greet and check in guests with warmth and professionalism.
  • Provide excellent customer service while managing patient flow.
  • Verify and update guest information in our system accurately.
  • Monitor the waiting room to ensure comfort and communicate delays.
  • Answer and route incoming phone calls in a friendly and professional manner.
  • Ensure a smooth, welcoming scheduling experience for guests.
  • Schedule appointments, confirm visits, and coordinate with clinical staff.
  • Communicate clearly with patients, providers, and teammates.
  • Educate guests on services, packages, and offerings
  • Encourage return visits and service add-ons
  • Maintain medical charts, guest files, and records .
  • Assist with data entry, filing, and basic office organization .
  • Use Microsoft Word, Excel, and scheduling software as needed.
  • Support team members with general office duties and special projects.
