We are currently seeking a Front Desk & Facilities Coordinator (a contract role), reporting directly to the Head of Facilities to join our Facilities team based in Houston, Texas. About the opportunity we offer: The Front Desk/Facilities Coordinator is responsible for answering phones, greeting visitors, assuring meeting rooms are prepared for their daily schedules. Taking care of badging requirements for visitors and/or replacements for employees. This position is also responsible for working closely with our building management representative in handling any maintenance or service issues.

Requirements

  • Minimum of 3-5 years experience in a front desk or facilities role
  • Prior experience/familiarity with badging systems and building systems inputting service/maintenance requests
  • Office coordination of supplies for mulitple floors
  • English fluency is required
  • Interpersonal skills: must be friendly and able to multi-task to greet visitors, sign them in, issue a badge, direct them to the meeting rooms
  • Maturity in working closely with multiple departments within Technip Energies, also Building Management and Outside Vendors
  • Responsible for walking all our floors to ensure print rooms and kitchens are adequately stocked
  • Time managment and prioritization

Responsibilities

  • Operate security badging system (Genetec)
  • Create and print new employee badges
  • Assist in adding/deleting access badges
  • Oversee Visitor Security Process
  • Greet Visitors
  • Answering calls
  • Keep updated records for Employees, Contractors and Clients
  • Manage Fuller system for tracking maintenance requests
  • Submits Maintenance and Move Requests in Archibus (to include Vendors)
  • Walk floors daily and documents issues and resolve in a timely manner
  • Maintain kitchen and conference room supplies
  • Ordering of Facilities Supplies
  • Works closely with Vendors for repairs and warranty items
  • Learn and maintain new building operations and systems
  • Liaison with Security Americas on various issues
  • Coordinate receiving mail with Reprographics
  • Support new hire orientation
  • Support Company social events
  • Review and challenge every cost and minimize spending
  • Vendor maintenance and relationship
