About The Position

We are a fast-paced, high-energy tax and financial services firm looking for a dynamic and reliable Front Desk Executive to be the welcoming face of our company. Our ideal candidate is proactive, tech-savvy, and thrives in a busy environment while maintaining exceptional professionalism and positivity. The Front Desk Executive will play a critical role in shaping the first impression of our firm. This role requires someone with at least 3 years of experience supporting fast-paced environments, exceptional communication skills, and the ability to multitask efficiently. You must be a self-starter, punctual, adaptable, and ready to support both clients and internal teams as needed.

Requirements

  • Highly punctual, reliable, and organized
  • Ability to multitask and prioritize in a busy environment
  • Positive attitude with excellent customer service skills
  • Strong initiative, leadership mindset, and willingness to "go the extra mile"
  • Minimum 3 years of experience in a fast-paced administrative or front desk role
  • Bilingual: Fluent in English & Spanish (written and verbal)
  • Experience using AI tools, agents, or automation systems

Responsibilities

  • Warmly greet clients with a professional, positive, and upbeat attitude
  • Serve as the primary point of contact at the front desk
  • Communicate with clients fluently in both English and Spanish
  • Maintain a clean, organized, and welcoming reception area
  • Prepare coffee and ensure refreshments are stocked for clients and staff
  • Answer phone calls, route inquiries, and manage front desk communications
  • Assist clients with check-in, documentation, and basic questions
  • Provide administrative support to other departments when needed
  • Use AI tools and automation systems to improve workflows and efficiency
  • Demonstrate leadership qualities through initiative, problem-solving, and accountability
  • Remain calm and effective under pressure in a high-volume environment
  • Uphold the company's image through professionalism and excellent customer service
