About The Position

The Front Desk & Executive Assistant serves as the first point of contact for visitors, callers, and employees, while also providing essential administrative support to the President, C-suite leaders, and other members of the leadership team. This role ensures smooth daily office operations by managing front desk responsibilities, coordinating communication, and assisting with a variety of administrative tasks and special projects.

Requirements

  • High School Diploma or equivalent required.
  • 2+ years’ experience in a receptionist, administrative assistant, or office support role.
  • Excellent verbal and written communication skills.
  • Strong organizational and planning skills and attention to detail.
  • Ability to prioritize tasks.
  • Ability to maintain confidentiality and exercise professionalism when working with leadership.
  • Strong problem-solving skills.
  • Proficiency with Microsoft Office Suite or similar tools
  • Ability to work both independently and within a group.
  • Friendly, polished, and service-oriented demeanor.
  • Critical thinking and active listening skills.
  • Knowledge of operation of standard office equipment.
  • Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
  • Knowledge of principles and practices of basic office management.

Responsibilities

  • Greet and assist visitors, vendors, and guests.
  • Answer, screen, and route incoming calls.
  • Maintain a clean, organized, and professional reception area.
  • Manage visitor sign-in and distribute mail and packages.
  • Provide administrative assistance to leadership, including scheduling, document preparation, and basic correspondence.
  • Coordinate meetings, prepare agendas, and take notes as needed.
  • Assist with travel arrangements when required.
  • Perform general clerical tasks such as scanning, filing, copying, and maintaining organized digital and physical records.
  • Coordinate with vendors and service providers for office-related needs.
  • Assist with company events, trainings, or special projects.
  • Provide general internal support to staff.
  • Perform additional tasks as assigned to support office operations and leadership.
  • Perform other duties as assigned.
