About The Position

Our company is looking for a professional front desk clerk to oversee all receptionist and secretarial duties at our main entrance desk. You will perform a range of duties including answering phone calls, managing the mail, and maintaining the office. Your central goal is to provide our clients with outstanding customer service and support. As the face' of our company, the successful candidate will be presentable and friendly, with outstanding people's skills. You should have a talent for multi-tasking, with excellent communication and organizational skills.

Responsibilities

  • Greet guests and provide them with superb customer service.
  • Ensure the front desk is neat, organized, and equipped with all the necessary supplies such as pens, forms, and paper.
  • Accept all deliveries and packages and distribute them to the appropriate person.
  • Monitor calendar and prepare emails.
  • Maintain inventory of office supplies and supplies/drinks to place order every other week.
  • Offer water, coffee, or soda to all guests.
  • Schedule conference room for meetings.
  • Answer and transfer all calls to the appropriate legal teams or department.
  • Clean conference rooms after meetings and always keep presentable.
  • Ensure the kitchen and supply room are fully stocked and clean.
  • Put away office supplies/snacks deliveries and break down all delivery boxes.
  • Pick up all mail from mailbox daily.
  • Process all daily incoming mail by opening and scanning.
  • Scan all incoming mail into the correct file.
  • Distribute scanned mail to teams.
  • Proficient use of scanning, copying and postage machines.
  • Process all outgoing mail, including FedEx.
  • Drop off daily outgoing mail in mailbox. and schedule a FedEx pickup if needed.
  • Upload all client records from CDs and jump drives into client's file.
  • Scan all settlement checks into client file and follow checks process.
  • Have excellent communication skills.
