About The Position

We’re looking for a welcoming and detail-oriented Front Desk Associate to be the first impression of Flawless Med Spa. In this role, you’ll create a seamless and inviting experience for every patient — from greeting and check-in, to scheduling and payments. You’ll help set the tone for our professional and fun atmosphere while supporting both the clinical team and our patients with professionalism, efficiency, and warmth.

Requirements

• 1+ year of experience in customer service, hospitality, or front desk/administrative roles (medical spa or healthcare preferred)
• Strong organizational skills and attention to detail
• Excellent communication skills, both in person and over the phone
• Comfortable with technology (EMR systems, scheduling software, payment systems)
• Positive, professional demeanor with a patient-first mindset
• Thrives in a fast-paced, team-oriented environment

Responsibilities

• Patient Experience: Greet every patient with warmth and professionalism; ensure they feel welcome and comfortable from the moment they arrive.
• Scheduling & Communication: Manage appointments, phone calls, emails, and confirmations while maintaining accuracy in our EMR system.
• Check-In & Check-Out: Guide patients smoothly through intake, consent forms, payments, and rebooking.
• Sales Support: Educate patients on packages, memberships, and promotions while supporting team sales goals.
• Collaboration: Work closely with providers, estheticians, and leadership to ensure smooth daily operations.
• Clinic Standards: Keep the front desk, waiting area, and retail shelves organized, clean, and aligned with our luxury aesthetic.
• Community Engagement: Represent Flawless with pride at events, promotions, or campaigns as needed.
