About The Position

Excelsior Wellness is seeking a skilled, customer-focused Front Desk Associate to join our healthcare team. The ideal candidate will bring strong customer service expertise, a positive and professional demeanor, and excellent multitasking skills. This role plays a critical part in supporting clinic operations by managing client interactions, ensuring smooth daily workflows, and contributing to a welcoming, safe, and efficient care environment.

Requirements

  • High school diploma or equivalent; an associate degree in a healthcare or business-related field is preferred.
  • Experience in healthcare operations, patient scheduling, insurance processes, or similar administrative functions.
  • Strong ability to work independently, multitask, and communicate effectively with a wide range of individuals.
  • Successful completion of a criminal background check.
  • Valid state driver’s license.

Responsibilities

  • Answering incoming calls and providing timely assistance to patients.
  • Reviewing provider schedules and ensuring accuracy.
  • Managing work queues and routing items appropriately.
  • Collecting co‑payments and maintaining an accurate cash drawer.
  • Opening, sorting, and distributing mail.
  • Scheduling patient appointments and coordinating follow-up care.
  • Registering patients in the Electronic Health Record (EHR) system.
  • Processing and managing internal referrals.
  • Checking patients in and out for appointments.
  • Supporting providers with follow-up phone calls, letters, and documentation needs.
  • Scanning and indexing documents into the EHR.
  • Monitoring emergency room notifications and ensuring appropriate staff are alerted.
  • Verifying patient insurance eligibility and updating records.
