About the position

The Front Desk Associate at Tia Pasadena is responsible for ensuring a hospitable patient member experience at the Tia Clinic. In collaboration with the care team and Clinic Manager, the associate maintains efficient patient operations and actively participates in reporting feedback and suggestions related to patient care and clinic processes. The role requires a client service mentality and the ability to navigate a highly demanding environment while maintaining composure under stress.

Responsibilities

  • Greet and direct all patients and related individuals to appropriate locations while maintaining excellent customer service.
  • Maintain communication among care team members to ensure back and front of house operations align with patient and care team needs.
  • Educate patients on Tia Services including workshops, acupuncture, community events, and retail products.
  • Prioritize and multitask in a fast-paced environment, handling administrative duties such as scanning and uploading patient medical information.
  • Assist care coordinators in scheduling inbound patients.
  • Ensure communal areas are stocked, clean, and maintained.
  • Document patient information and vital signs in EMR and provide follow-up instructions as necessary.
  • Execute ad-hoc tasks and projects as needed to support clinic operations.

Requirements

  • Proficiency in core MS/Google Suite.
  • Experience with vitals documentation and autoclaving sterilization.
  • Strong customer service skills and tech-savviness.
  • Ability to maintain composure under stress and navigate ambiguity.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.

Nice-to-haves

  • Experience in a healthcare setting.
  • Familiarity with EMR systems.
  • Knowledge of inventory management and supply ordering.
